The Grants and Contracts Associate will be responsible for helping implement and administer The Fund’s contracts, grants, and compliance monitoring in accordance with organizational policies and handle special projects as needed. The Grants and Contracts Associate will report to the Chief Operating Officer.
PRIMARY RESPONSIBILITIES
- Due Diligence: Conducts research on prospective and active Fund donors, vendors, and contractors to ensure compliance with applicable policies and regulations; prepares and presents findings for internal review; performs related work.
- Procurement Support: In conjunction with the Chief Operating Officer, works closely with The Fund’s Portfolio and Finance teams to ensure contracted services are procured with fidelity, in a timely fashion, and in full service to the intended beneficiary(ies). Reviews contract packages (e.g., statements of work, budgets, letters of support/justification, vendor bids and proposals, etc.) to ensure clarity and alignment with applicable policies and private funding requirements. Supports the drafting, dissemination, and tracking of contract materials issued to vendors and consultants; performs follow-up outreach. As needed, supports The Fund’s direct procurement and contract award and administration process, including preparation and issuance of specifications; solicitation of competitive and non-competitive bids and proposals; review of vendor bids and proposals for responsiveness.
- Grant Support: In conjunction with the Chief Operating Officer and Portfolio Team, implements the formal gift/grant agreement review process with the Chief Development Officer and Chief Financial Officer; prepares final materials for execution by the Chief Executive Officer.
- Reporting and Tracking: Maintains grant awards and contract files. Updates databases and dashboards for internal tracking purposes; gathers and summarizes data and provides high level data analyses for The Fund’s internal and external reporting purposes.
- Informational Support and Technical Assistance: Provides informational support and technical assistance to staff, vendors/contractors, and other partners to ensure The Fund’s procurement guidelines and standards are followed; provides informational support and follow-up to ensure timely resolution of difficulties; provides full-cycle updates to The Fund’s vendors/contractors; fields inquiries.

QUALIFICATION REQUIREMENTS
- Bachelor’s degree
- At least 4 years of work experience
- Proficiency in Microsoft Office 365 software (Word, Excel, Teams, Outlook, etc.)
- Strong organizational skills and attention to detail
- Strong written and interpersonal communication skills
- Strong critical thinking skills
- Ability to use good judgment and operate with discretion
- Ability to learn and communicate policies and regulations effectively.
- Ability to manage a large volume of tasks concurrently and independently in a reliable and efficient manner
- Ability to provide high quality customer service and maintain professional communication at all times. Responds in a timely fashion to voicemails, emails, and other correspondence.
- Ability to work effectively to conclude negotiations and execute contracts in a timely manner, while ensuring organizational compliance.
- Ability to analyze situations, identify solutions/alternatives and make appropriate recommendations resulting in minimal risk to The Fund and maximum benefit to its charitable purpose.
