    Gabriel Homes Inc. is a private nonprofit organization promoting independence through residential placement, training and community integration for adults with intellectual and developmental disabilities. Our homes are in Reston and Herndon, Virginia. Gabriel Homes exists to enable the adults we serve to open their doors to independence. We help put a roof over their heads and, more importantly, a solid foundation under their feet. We offer the support and encouragement they need to develop their full potential. We distinguish ourselves from other live-in facilities by emphasizing independent living within a strong community context.

    Job Purpose: The Assistant Director is responsible for supporting the Executive Director and assisting with the overall management and direction of the organization in accordance with its vision and mission.

    Overview:

    The Assistant Director will be a key member of the leadership team who supports the Executive Director in carrying out the mission, overseeing daily operations, and managing programs, staff, and resources. This role often serves as second-in-command and may act on behalf of the Executive Director when needed.

    Qualifications:

    Bachelor's degree in Non-profit Management, Business, Finance/Accounting, or Human Services

    Minimum 5 years’ experience working in one of these fields

    Minimum of 2 years management or supervisory experience

    Good interpersonal, oral, and verbal communication skills

    Experience with QuickBooks

    Knowledge of computers and willingness to upgrade skills as needed

    Self-directed and independent worker

    Strong organization, filing, prioritization, and problem-solving skills

    Strong ability to interface in public facing situations

    Ability to thrive in an environment where priorities can change rapidly

    Experience working with adults with intellectual or developmental disabilities is a bonus

    Duties and Responsibilities

    Financial/Bookkeeping:

    • Responsible for all accounts payable and receivables
    • Prepare and submit invoices for contractual services
      • Monthly county invoices
      • Monthly invoices for DMAS waiver residents
      • Client fees
    • Review bi-weekly payroll, in collaboration with Executive Director and other supervisors
    • Complete grant reporting requirements as appropriate
    • Process/distribute mail
    • PTO verifications and data input
    • Work with Board treasurer to Input and track yearly budget
    • Work in conjunction with Executive Director to manage financial items including review of expenses against budget and keeping Director aware of any issues
    • Report generation for Executive Director
    • Fundraising reports as required (mailing lists, fundraising expenses, etc.)
    • Bank balance monitoring and perform reconciliations
    • Work with independent auditor to provide requested items

    Administrative:

    • Supervise the administrative staff for the organization
    • Provide Human Resources point of contact for staff
    • File the yearly State Corporation Commission Documentation
    • Help facilitate bi-annual mailing process, labels, letter printing and mailing, thank you preparations
    • Assist with technology maintenance of computers, software updates and phone equipment
    • General Clerical Duties, including computing, scanning, photocopying, faxing and emailing
    • Maintain electronic and hard copies of record filing system
    • Retrieve documents from filing system and handle requests for information
    • Assist in client record keeping and data collection tasks according to schedule
    • Assist in maintaining inventories and refilling office supplies
    • Scan and file medical/dental visits forms
    • Develop and maintain systems where needed to improve efficiency and data retention

    Governance/Compliance:

    • Establish and maintain digital records retention (bylaws, employee manual, county documents, mortgages, property titles, car registration/inspection document, vehicle and property improvements/repair records)
    • Create, implement, and evaluate the outcomes of the organizational risk management plan. Will be responsible for the risk management function by completing approved training which shall include training related to risk management, understanding of individual risk screening, conducting investigations, root cause analysis, and the use of data to identify risk patterns and trends

    Facilities:

    • Responsible for the oversight of maintenance of all Gabriel Homes properties
    • Inspect homes monthly, incorporate staff input on home needs
    • Inspect home equipment and maintain annual schedules for HVAC service, gutter cleaning, roof inspections, boiler inspections, sump pump inspections, hot water heater, winterizing
    • Inspect vehicles, facilitated routine needs and maintenance as needed
    • Inspect exterior of properties, landscaping etc. and ensure it meets expected standards
    • Prepare homes for weather related needs (winterize faucets, winter snow care, etc.)
    • Ensure compliance with Reston Association Property rules and regulations
    • Respond to community and cluster concerns if they arise
    • Other duties as assigned by the Executive Director
