    At the Chordoma Foundation, we serve as an agent of change on behalf of those affected by chordoma, a rare bone cancer of the skull and spine. Our team helps patients and families facing this challenging disease get the care and support they need while leading the search for better treatments and ultimately a cure. Through funding and driving high-impact research — including through our own laboratory — we are bringing new treatment options to patients at an unparalleled pace. This has already culminated in 14 clinical trials, but our most impactful work lies ahead as we take on a larger role in research and therapeutic development through our own lab, build the infrastructure needed to streamline future trials, and facilitate the first drug approvals for chordoma.

    The Opportunity

    To take on the next phase of our mission, we’re looking for an experienced accounting professional to perform ongoing accounting tasks as well as support larger finance activities such as audit, budgeting, and documentation.

    We are seeking a contract Staff Accountant to remotely work approximately 10 hours per week (with additional hours as needed at month-end, year-end, and during audit) and provide consistent, accurate, and efficient accounting work. While this position will leverage our well-developed systems and processes, we expect the Staff Accountant to also recommend improvements and opportunities for efficiencies. In this role, you’ll report to the Head of Finance & Operations and be a key component of our financial workflows. You’ll also collaborate across the organization to ensure our financial processes and controls are strong, consistent, and efficient in order to help our team succeed in our mission.

    The Staff Accountant (Contract) is responsible for the following:

    Accounts Payable & Expense Management:

    • Oversee accounts payable and employee expense workflows, including processing vendor invoices, employee expenses, and reimbursements
    • Enter and code bills/receipts across departments, programs and funds in our expense system (Ramp) for approval routing and payment
    • Review coding and accuracy of employee expenses and sync to accounting system (Netsuite)
    • Own vendor onboarding and maintenance by obtaining and managing vendor records (e.g. W-9s, Payment information), and assist with 1099 reporting

    Revenue Recording and Reconciliation

    • Enter and ensure accurate recognition of income in our accounting system (Netsuite), including donations, pledges, sponsorships, and grants
    • Ensure timely and accurate revenue recognition in accordance with GAAP
    • Apply appropriate restrictions on income as needed and assist with management and reconciliation of fund balances
    • Partner with the Development team to reconcile revenue between Netsuite and Salesforce

    General Ledger and Financial Schedules Support

    • Prepare and complete monthly bank, credit card, and general ledger reconciliations
    • Record journal entries for accruals, payroll, prepaids, allocations, sales tax, and adjustments
    • Maintain and reconcile accounting schedules (e.g., fixed assets, prepaid expenses, grants, investments)
    • Support month-end and year-end close processes to ensure general ledger accuracy

    Reporting, Audit, and Compliance Support

    • Provide support as needed for board-reporting and annual budget process
    • Assist with preparation for our annual audit, including reconciliations, schedules, and supporting documentation
    • Support the completion of financial data for IRS Form 990
    • Maintain organized, audit-ready files and contribute to compliance with internal controls and nonprofit accounting standards.

    Requirements:

    • Bachelor’s and/or Master’s degree in Accounting, Finance, or a related field, equivalent experience will be considered
    • At least 5 years of hands-on accounting experience, preferably in a nonprofit or grant-funded environment
    • Experience managing accounting close, including ownership of schedules and deadlines
    • Proven ability to manage multiple priorities and meet deadlines
    • Strong communication skills, both written and verbal
    • Extraordinary attention to detail and commitment to accuracy
    • Experience recording transactions in, and reporting from, large accounting systems (preferably Netsuite)
    • Genuine enthusiasm for using technology to enhance efficiency and solve problems

    Other Preferred Skills:

    • Experience supporting nonprofit audits and IRS Form 990 preparation
    • Familiarity with GAAP, fund accounting, and grant tracking
    • Ability to identify and implement process improvements
    • Proficiency with accounting and productivity tools such as Netsuite, Ramp, Salesforce, Box, ClickUp, and Excel
