    About Project Expedite Justice

    Project Expedite Justice (PEJ), founded in 2016, is a United States-based NGO with 501(c)(3) charitable organization designation.

    PEJ's mission is to use all available legal options to seek justice for individuals inadequately protected under the law, who cannot access legal resources, and who are exploited by governments, corporations, or others.

    PEJ applies a novel, victim-centered approach to addressing mass atrocities. PEJ's 3-step model includes training, mentoring, and providing independent legal consulting. We partner with and train local lawyers and investigators to collect, analyze, and preserve evidence according to international legal standards. Without evidence, there can be no accountability. We further build local capabilities and advance the justice process through case-specific mentoring and strategic guidance to local legal practitioners and investigators. Finally, we partner with local NGOs, pro bono law firms, and legal clinics to represent victims of international crimes and serious human rights abuses in court or alternative judicial mechanisms.

    PEJ has projects in several countries. Our inclusive team includes people working remotely from Africa, Asia, Europe, South America, and the US.     The Opportunity: Admin Support Intern

    PEJ seeks a proactive, organized, and reliable Administrative Support Intern to assist with day-to-day operational and administrative tasks for the Ukraine program, specifically for the Ukraine Legal and Program Director, who is based in Kyiv. The intern will support logistical coordination, documentation management, scheduling, and general administrative functions to improve workflow efficiency for the project team.

    This position will be based in Kyiv with work conducted primarily online. Some in-person tasks (e.g., document pickups, scanning, coordinating deliveries, assisting with meeting logistics) may be required.

    The intern will report to the Ukraine Legal and Program Director and work closely with the Kyiv-based and remote teams. The contract PEJ can offer will be in effect until April 30, 2026, with full-time dedication to the project, and may be extended based on project needs and budget.

    Key Deliverables:

    • Consistent, reliable administrative support to the Legal and Program Director (LPD), ensuring smooth daily workflow and task management.
    • Well-organized digital files, documentation, and administrative records are maintained for the LPD and Ukraine team.
    • Timely scheduling, meeting coordination, and succinct meeting notes prepared for the LPD.
    • Effective logistical and operational support for LPD-led trainings, events, and partner engagements.
    • Completion of assigned in-person tasks in Kyiv (e.g., document delivery, printing, scanning) to support the LPD’s work and urgent needs.

    Key Responsibilities:

    Administrative & Operational Support

    • Schedule and coordinate internal and external meetings.
    • Assist with logistical arrangements for trainings, workshops, and events.
    • Draft, format, and organize internal documents, meeting notes, and correspondence.
    • Maintain organized digital filing systems in accordance with PEJ SOPs.
    • Support travel-related arrangements and administrative documentation.
    • Perform basic data entry and administrative record-keeping.

    Documentation & Information Management

    • Support the collection, organization, and archiving of administrative documents.
    • Assist with preparing procurement documentation and maintaining vendor records.
    • Help compile information for donor reports or internal updates.

    In-Person Support (as needed)

    • Deliver or collect documents within Kyiv.
    • Assist with scanning, printing, notarizing, or other document-handling tasks.
    • Support logistics for in-person meetings, trainings, or partner engagements.

    Team Engagement

    • Provide general administrative support to the LPD Ukraine and the Ukraine program.
    • Communicate promptly and clearly with staff and partners.
    • Participate in team meetings and contribute to administrative process improvements

    Requirements:

    • Recent graduate from a university program (administration, management, social sciences, law, or related fields).
    • Strong organizational and time-management skills.
    • Reliability, discretion, and professionalism.
    • Ability to work independently and proactively in a remote environment.
    • Proficiency in Microsoft Office / Google Workspace.
    • Fluency in Ukrainian and advanced English proficiency required.

    Preferred:

    • Previous administrative or office support experience (paid or volunteer).
    • Experience supporting NGOs or international organizations.
    • Familiarity with online document management systems.
    • Comfortable with occasional in-person tasks in Kyiv. Candidates with a driving license are preferred.
