**Purpose of the Role**
The Corporate Personal Assistant provides high-level administrative and executive support to the Chief Executive Officer and the Board of Trustees. This role ensures efficient coordination of schedules, communications, reporting, and project administration while upholding the values of Tikanga Māori (customs, ethics, and respect) and Kaupapa Māori (collective principles and philosophies). The position requires exceptional organisation, confidentiality, and professionalism across all areas of the Trust’s operations.
**Key Responsibilities**
- Provide day-to-day executive support to the Chief Executive Officer, including diary management, scheduling, and correspondence handling.
- Prepare meeting agendas, minutes, reports, and presentations for internal and external use.
- Coordinate communication between the CEO, Board of Trustees, staff, and external partners.
- Assist in project planning, document control, and workflow tracking across departments.
- Manage confidential information with discretion and ensure sensitive materials are handled in accordance with Trust policies.
- Organise and maintain filing systems (digital and physical) following data privacy and record-keeping standards.
- Support event planning, stakeholder meetings, and official engagements of the CEO.
- Ensure all activities reflect manaakitanga (respect and care) and uphold the Trust’s professional image.
**Qualifications and Experience**
- Diploma or Bachelor’s degree in Business Administration, Executive Assistance, or a related field.
- Minimum five (5) years’ experience providing executive or personal assistant support to senior management or governance bodies.
- Excellent communication, time management, and problem-solving skills.
- Proficiency in Microsoft 365, Google Workspace, and digital project management tools.
- Demonstrated understanding of Tikanga Māori and Kaupapa Māori, with cultural competency to engage respectfully with Māori and non-Māori stakeholders.
- Experience managing multiple priorities in fast-paced, confidential environments.

- This position reports directly to the Chief Executive Officer and works collaboratively with the Office and Human Resource Manager. The Corporate Personal Assistant is accountable for supporting executive efficiency, managing documentation, and ensuring operational alignment with the Trust’s governance processes.
