    Job Summary: Your role is to provide administrative support to the Board of Advisory and ensure the smooth functioning of the board. The Assistant will work closely with the Board Chair, Vice-Chair, and Executive Director to help manage board activities, ensure timely execution of board actions, and maintain board documents. You should have excellent time management and communication skills to succeed in this role. You will collaborate with different departments on document development and collaborate with the internal team to promote on-time delivery.

    Job Description

    As the assistant to the advisory board, you will coordinate meetings, prepare draft agendas, manage correspondence, and act as an assistant secretary of the board. The Advisory Board Assistant also prepares meeting materials, maintains accurate, up-to-date records of the Board's actions, and acts as a liaison between the Board and other departments within the organization.

    Key Responsibilities

    • Coordinating and scheduling meetings of the Board of Advisory, including preparing draft agendas and arranging for necessary equipment and materials.
    • Preparing and distributing meeting materials, including minutes and reports, to Board members promptly
    • Maintaining accurate and up-to-date records of the Board's actions
    • Acting as a liaison between the Board and other departments within the organization
    • Assisting with special projects and other tasks as assigned by the Board Chair
    • Following up with board members on requests from the CEO
    • Train new Board members on their roles and responsibilities
    • Manage activities for the Board, such as retreats, fundraisers, and networking events

    • Extend hospitality to all participants of our programs.
    • Maintain a positive attitude with all appointments.
    • Be creative in looking for ways to contribute to the department and the organization.
    • Join the quarterly meeting, schedule it, create an agenda, and take minutes of the meeting

    Qualifications

    • Strong organizational skills and attention to detail
    • Excellent communication skills, both verbal and written
    • Proven ability to work independently and as part of a team
    • Proficient in Microsoft Office Suite and Google Suite
    • Experience in a similar role is preferred but not mandatory
    • Passionate about Womenful Voice's mission and values
    • Experience in fundraising and event planning is a plus
