The Opportunity
The ImpactKits Project is looking for an experienced, technically capable volunteer to oversee the account and technology onboarding process for our volunteers, staff, and leadership team.
When someone joins ImpactKits, they may need accounts and access across a broad technology environment, including Microsoft Entra ID / MyApps, Microsoft 365, Google Workspace, Google Drive, Google Chat, Plaky, Canva, Jibble, WordPress, and other role-specific platforms.
We need someone who can take ownership of this process so that new team members receive the technical access they need without leadership having to manually remember and complete every step.
This is an experienced technical administration role. Applicants should already have hands-on experience with identity/access management, systems administration, account provisioning, SaaS administration, or a closely related area. We are not looking for someone who would need to learn these concepts from scratch.
You do not need experience with every platform ImpactKits uses. What matters most is that you are highly comfortable with technology, learn new systems quickly, understand permissions and access, and can independently figure out how to work within unfamiliar administrative environments.
What You'll Do
Once a new team member has completed ImpactKits' organizational onboarding process and their role has been approved, we will provide you with the information you need.
You will own the technical onboarding stage:
Organizational onboarding completed → Provisioning request received → Accounts created → Access configured → Access verified → Completion reported → Team member receives access information
Your responsibilities will include:
- Creating and provisioning organizational accounts for newly approved team members.
- Managing user access across ImpactKits' technology environment.
- Administering Microsoft Entra ID / MyApps and related identity and access-management functions.
- Administering Microsoft 365 accounts and permissions where applicable.
- Administering Google Workspace, including organizational accounts, groups, shared resources, and permissions.
- Provisioning access to Google Drive/Shared Drives and Google Chat.
- Managing Plaky accounts and relevant project spaces.
- Provisioning access to Canva, Jibble, WordPress, and other approved platforms as required by role.
- Applying appropriate permissions based on each person's role.
- Following security-conscious access practices and avoiding unnecessary privileges.
- Verifying that accounts and permissions actually work before marking onboarding complete.
- Maintaining accurate records of what has been provisioned.
- Following up when onboarding information is incomplete or unclear.
- Supporting access changes when someone changes roles.
- Supporting account deprovisioning and access revocation during offboarding.
- Maintaining and improving provisioning documentation and procedures.
- Maintaining a role-to-access matrix so provisioning is standardized.
- Identifying opportunities to simplify or automate repetitive provisioning work.
Technical Experience
Hands-on experience with technology administration is strongly preferred, and experience with identity and access management is particularly valuable.
Relevant experience may include:
- Microsoft Entra ID / Azure AD
- Microsoft 365 administration
- Google Workspace administration
- Identity and Access Management (IAM)
- User provisioning and deprovisioning
- Role-based access control (RBAC)
- Group and permission management
- Account lifecycle management
- SaaS/application administration
- Access security
- Authentication and account troubleshooting
- Offboarding and access revocation
- Technical documentation
Experience with Plaky is helpful but not required if you have administered comparable project-management or SaaS platforms.
Because our technology environment is broad, we do not expect someone to have used every platform before. We are looking for someone with a strong technical foundation who can quickly understand a new administrative interface and apply the underlying concepts of accounts, permissions, groups, and access.
What We Need From You
This role requires someone who is:
- Technically capable. You should be comfortable navigating administrative consoles, account settings, permissions, and unfamiliar technology without being intimidated by them.
- A fast learner. You will encounter systems you may not have used before. You should be able to explore, research, test, and figure things out independently.
- Extremely detail-oriented. A small provisioning mistake can give someone the wrong access—or prevent them from doing their work. Accuracy matters.
- Security-conscious. You should understand that access should be granted intentionally and that not everyone needs administrative or sensitive permissions.
- Independent. We will give you the information and expectations you need, but we do not want to walk you through every account setup step.
- Reliable and responsive. You should check ImpactKits communication channels regularly and avoid letting provisioning requests sit unnoticed.
- Organized. You should be comfortable maintaining records and making sure every requested account or permission has actually been completed.
- Comfortable troubleshooting. When something doesn't work as expected, you should be willing to investigate the issue rather than immediately passing it back to leadership.
Availability
The expected commitment is approximately 3-5 hours per week.
This is a relatively focused role, so we are not looking for someone who can spend 10–20 hours a week on ImpactKits. What matters more is consistent availability and responsiveness.
We ask that you generally check ImpactKits communication channels at least 1–2 times per day or more when possible, particularly when there are active onboarding requests.
You do not need to be online constantly or available 24/7. We simply need someone who will notice requests, act on them promptly, and communicate when something is blocked.
How the Role Works
You will not decide whether someone is accepted into ImpactKits or determine their organizational role.
Once the appropriate leadership or operations team has completed that process, they will send you the information required for technical provisioning.
You will then:
- Review the person's role and required access.
- Provision the appropriate accounts and permissions.
- Verify that the setup is complete and functional.
- Record what was provisioned.
- Report completion or flag any blockers.
- Return the completed onboarding information to the appropriate team so they can provide the new member with their access information and next steps.
This keeps the responsibility clear: leadership handles organizational onboarding; you handle technical onboarding.
What Success Looks Like
A successful person in this role makes technical onboarding feel almost invisible to everyone else.
When someone joins ImpactKits, leadership should be able to submit one completed provisioning request and trust that their technical setup will be handled accurately.
We want to move from:
“Did anyone remember to create their account?” to: “Their onboarding request was received, their access was provisioned and verified, and they're ready to work.”
Over time, you'll also help us make the process more standardized, secure, and efficient as ImpactKits grows.
Who Should Apply
This role is a particularly good fit for someone who has worked with IT administration, IAM, systems administration, SaaS administration, Microsoft 365, Google Workspace, Entra ID, access management, or a related technical function.
You don't need to be a cybersecurity professional or full-time IT administrator. But you do need to be genuinely comfortable with technology, learn quickly, pay close attention to details, and be able to independently manage account and access tasks.

Before you complete the application, we want to make sure this role is a good match. This is a hands-on technical administration role, not simply an onboarding or administrative position. You’ll be responsible for actually creating accounts, configuring permissions, managing access, troubleshooting issues, and verifying that new team members are ready to work.
