Description
We Are NEXT, an all‑volunteer 501(c)(4) organization, is seeking a volunteer Google Workspace System Lead to own and maintain our back‑office collaboration environment. This role is ideal for someone with hands‑on Google Workspace administration experience who wants to support a mission‑driven civic organization working on policy development, democracy, and community engagement.
The Google Workspace System Lead will administer users, groups, organizational units, shared drives, onboarding and offboarding, roles, permissions, internal access, external collaboration, domain configuration, DNS, and email deliverability.
Because We Are NEXT operates with a small volunteer systems team, this role will also serve as the backup operator for the WordPress site. The WordPress System Lead will back up this role in turn, with paired onboarding and shared documentation so coverage is dependable.
Responsibilities
- Own and administer the We Are NEXT Google Workspace environment, including users, groups, organizational units, shared drives, member onboarding, member offboarding, admin roles, delegated privileges, and access controls
- Apply least‑privilege access across internal teams by managing organizational unit controls, group membership, shared drive permissions, delegated privileges, and role‑based access
- Govern external collaboration through domain‑wide and organizational unit sharing policies, guest access controls, external group membership, shared drive access, and link‑sharing restrictions
- Configure and maintain data‑protection controls, including limits on downloading, printing, copying, or externally sharing sensitive internal content
- Own domain and DNS configuration related to Google Workspace, including email deliverability records such as MX, SPF, DKIM, and DMARC
- Create and maintain documentation, runbooks, access standards, configuration notes, escalation paths, and recurring maintenance procedures so another volunteer can operate from clear instructions
- Participate in paired onboarding and cross‑training with the WordPress System Lead, including basic content publishing support, access procedures, plugin and update awareness, and escalation steps
Qualifications
- Hands‑on Google Workspace administration experience, including users, groups, organizational units, admin roles, shared drives, internal permissions, and external sharing controls
- Familiarity with DNS and email authentication records (MX, SPF, DKIM, DMARC), or readiness to learn them quickly
- Strong understanding of least‑privilege access, role‑based permissions, group management, shared‑drive governance, and secure collaboration practices
- Comfort managing external collaboration settings, guest access, shared‑content restrictions, and access controls for people outside the domain
- Strong documentation habits and ability to explain access decisions, risks, and tradeoffs in plain language
- Willingness to learn the basics of WordPress administration as part of a cross‑trained systems coverage model
- Helpful but not required: experience migrating or consolidating fragmented systems, Google Admin Console, Google Groups, shared‑drive governance, Google Vault, security‑center tools, nonprofit operations, advocacy, civic, grassroots, or volunteer‑led organizations
What Success Looks Like
- We Are NEXT’s Google Workspace environment is organized, secure, documented, and easier for volunteers and leaders to use responsibly
- User onboarding and offboarding are handled consistently with appropriate group membership, shared‑drive access, delegated privileges, and documentation
- Internal access follows least‑privilege principles while external collaboration is governed through clear sharing settings and content‑protection controls
- Domain, DNS, and email‑deliverability settings are documented, maintained, and understood by the systems team
- Cross‑training with the WordPress System Lead creates real backup coverage and reduces single‑person dependency
Ideal Candidate
The ideal candidate is a practical systems owner who enjoys making collaboration tools cleaner, safer, and easier to manage. You do not need to be a security engineer, but you should be comfortable administering Google Workspace, making thoughtful access decisions, documenting your work, and helping a growing volunteer organization collaborate responsibly.
