Position Summary
The Volunteer Administrative Support Specialist provides essential administrative and organizational support to the Foundation and serves as a member of the Volunteer Action Committee. This individual plays an important role in ensuring that volunteers, programs, and communications are coordinated efficiently and effectively.
The ideal volunteer is dependable, compassionate, service-oriented, and committed to advancing the Foundation's mission and values.
Primary Responsibilities
Volunteer Coordination and Support
- Assist with volunteer onboarding activities.
- Coordinate and monitor volunteer background checks.
- Track volunteer responses and maintain accurate records.
- Enter and organize volunteer information into spreadsheets and databases.
- Prepare and distribute announcements welcoming new volunteers to the Foundation.
- Support the activities of the Volunteer Action Committee.
Administrative Support
- Assist with creating, updating, and maintaining organizational policies and procedures, including the policy handbook.
- Track policy distribution and maintain records of acknowledgments and responses.
- Prepare correspondence, reports, and other administrative documents.
- Provide general administrative support as needed.
Recruitment and Position Management
- Monitor volunteer and staff position descriptions posted on online platforms.
- Track renewal dates and ensure postings remain current.
- Identify positions requiring additional advertising and outreach efforts.
- Assist with recruitment-related activities.
Technology and Communications Support
- Create personalized QR codes and business cards for volunteers and staff members.
- Maintain organized electronic records and files.
- Assist with computer-related projects and technology-based administrative tasks.
- Support internal and external communications as needed.
Qualifications
- Proficiency with computers, spreadsheets, databases, and Microsoft Office applications.
- Excellent written and verbal communication skills.
- Strong organizational skills and attention to detail.
- Ability to maintain confidentiality and appropriately handle sensitive information.
- Ability to work independently while working collaboratively as part of a team.

Reporting Structure
