    Position Overview:

    We are seeking an experienced event management individual who is passionate about ocean conservation and environmental sustainability. This role requires a motivated and detail-oriented person who will support our ocean conservation initiatives through the planning and execution of virtual and in-person events.

    Your Impact on our Mission:

    This position is critical to our mission and the key responsibilities you will perform as a part of our Team include, but are not limited to:

    Event Planning and Coordination:

    • Assist in planning, organizing, and executing a variety of events, including educational workshops, community outreach programs, and virtual events
    • Coordinate logistics such as venue selection, catering, transportation, accommodations, and delivery of marketing materials and supplies.
    • Develop event timelines, checklists, and budgets to ensure successful event execution

    Stakeholder Engagement:

    • Liaise with sponsors, donors, volunteers, and community partners to ensure effective collaboration and support for events
    • Cultivate relationships with vendors, contractors, and other service providers

    Marketing and Promotion:

    • Assist in developing marketing materials, including flyers, social media content, email campaigns, and press releases to promote events
    • Assist with the management of event-related social media account and update the organization's website with event information

    On-Site Event Management:

    • Oversee event setup and breakdown, ensuring all logistics are handled efficiently
    • Provide on-site support during events, including registration, guest assistance, and troubleshooting issues as they arise
    • Coordinate and manage event volunteers

    Post-Event Activities:

    • Conduct post-event evaluations to gather feedback and identify areas for improvement
    • Prepare and distribute thank-you notes and acknowledgments to sponsors, donors, and participants
    • Assist in compiling event reports and maintaining accurate event records

    What you will bring to the Team:

    Along with their passion for our mission, the successful candidate will possess the following qualifications:

    • Strong organizational skills with the ability to manage multiple tasks and priorities
    • Team player with a collaborative spirit
    • Creative thinker with the ability to innovate and improve processes
    • Excellent communication and interpersonal skills
    • Proficiency in Microsoft Office Suite and Google Workspace
    • Experience with budget management
    • Ability to work flexible hours, including evenings and weekends, as needed
    • Ability to work collaboratively with a diverse team
    • Experience with social media platforms and digital marketing tools is preferred, but not required
    • Prior experience with a non-profit organization is preferred
    • 1+ years of prior experience in a related field such as customer service, hospitality, or previous event planning/coordinator experience is preferred
    • Location within the 48 contiguous United States is highly preferred

    Applicants must also have the ability to attend periodic meetings conducted during regular business hours in the Central Standard (CST) Time Zone. We are looking for someone who can dedicate a few hours per week, and can commit for at least 6 months (though we’d love to have you even longer)!
