Position Title: Secretary

Position Overview:
The Secretary serves as the official record keeper for Generous Women Enterprise (GWE). This individual ensures that accurate documentation of board meetings, decisions, and official records are maintained. The Secretary also assists with organizational correspondence, compliance filings, and maintaining communication between board members and leadership.
Key Responsibilities:
- Record, prepare, and distribute meeting minutes for all board and committee meetings.
- Maintain the organization’s official records, including bylaws, policies, and board resolutions on file.
- Ensure all required state and federal filings (such as annual reports) are completed on time.
- Keep an up-to-date contact list of board members and officers.
- Notify board members of upcoming meetings and provide necessary materials in advance.
- Maintain confidentiality of all sensitive organizational matters.
- Support the President in setting meeting agendas and documenting board decisions.
- Oversee the safe storage and digital backup of all records and documents.
- Authenticate and sign official documents as needed on behalf of the organization.
- Assist with correspondence and organizational communication as requested.
Qualifications:
- Strong organizational and written communication skills.
- Ability to maintain accurate records and handle confidential information.
- Basic computer skills (Microsoft Office, Slack, Google Workspace, or similar).
- Prior administrative or nonprofit experience preferred but not required.
- Commitment to the mission and values of Generous Women Enterprise.
Preferred (but not required) Backgrounds
- Experience in office management, business administration, education, or nonprofit operations.
- Prior volunteer experience or community service roles.
- Someone detail-oriented and dependable — even without formal board experience — can be an excellent fit.
Term of Office:
- Serves a term of one (1) year, renewable by the Board of Directors.
Time Commitment:
- Approximately 4–6 hours per month, including attending board meetings and completing documentation.
