    Administrative Assistant

    DEPARTMENT: Administration

    ROLE TITLE: Administrative Assistant

    LOCATION: Remote/Olympia, Washington State

    LEVEL/SALARY: Volunteer

    REPORTS TO: Strategic Planner/CEO

    DESIRED HOURS: Monday through Saturday, 10AM PST – 2PM PST

    ORGANIZATION DESCRIPTION: C.A.R.E. Wellness Center & Services

    C.A.R.E. Wellness Center is a 501(c)3 nonprofit charity with a mission of providing a safe farm stay, holistic retreat, and wellness programs for BIPOC community and allies for equality. Its programs are focused on persons of color and work with vulnerable populations such as BIPOC with justice-involvement, foster youth, and those suffering mental health challenges. The person in this role must be sensitive to these populations and center their duties on wellness.

    Our Mission is to provide a safe farm stay, holistic retreat, and wellness programs for black, indigenous, people of color and allies, to recover from Post-Traumatic Slave Syndrome via Spirituality, AgroTourism, and Racial Justice.

    Our Vision is Connectivity: to Nature; to God; and to Self. Our goal of acquiring farmland is to establish a safe spiritual retreat for people of color to escape constant trauma and begin repairing their fractured foundation and realize self-actualization. Our programs are a research community project with a goal of empowering others to heal from PTSS.

    The Founder, Chair, and CEO is a woman of color, Pansexual, and person with disabilities fully committed to the growth of both C.A.R.E. Wellness Center (nonprofit) and C.A.R.E. Family Services, LLC (for-profit), also doing direct services for children and youth. We highly encourage an ethical, organized, and ambitious student or seasoned professional to help support the foundation of this new and unique nonprofit for the community. This is a home-based office welcoming volunteers, guests, and visitors for meetings while fundraising for farmland to headquarter wellness programs.

    JOB SUMMARY:

    The Administrative Assistant Volunteer at C.A.R.E. Wellness Center will play a pivotal role in supporting our nonprofit’s mission to foster a community dedicated to wellness, spirituality, and social justice. This position is ideal for someone who is detail-orientated, has administration experience, and is passionate about organization development and community service. As an Administrative Assistant Volunteer, you will be the backbone of our day-to-day operations, ensuring smooth and efficient administrative support. Your contributions will directly impact our ability to serve our community effectively. Remote opportunities for a Washington state resident.

    RESPONSIBILITIES:

    • Provide administrative support to the C.A.R.E. team, contributing to the development and implementation of organizational strategies.
    • Answer and direct main phone calls, serving as the first point of contact for the center.
    • Manage the master calendar, including scheduling and coordination of wellness programs and events.
    • Prepare and distribute meeting announcements, agendas, and minutes, ensuring timely communication within the team.
    • Assist in the creation and maintenance of filing systems, both electronic and physical.
    • Support the team in various projects related to mental health, trauma, meditation, and self-advocacy.

    ESSENTIAL FUNCTIONS:

    • Types 35+ WPM
    • Excellent oral, text and written skills
    • Manage the clerical assistants who will support departments and programs with projects and tasks.
    • Organization Development: Assist in establishing administrative processes and systems that enhance the center’s operational efficiency.
    • Communication: Serve as a liaison between staff, volunteers, and community members, maintaining clear and open channels of communication.
    • Time Management: Oversee the master calendar to ensure that all events, meetings, and deadlines are met without conflicts.
    • Documentation: Accurately record and maintain documentation of meetings and center activities.
    • Calendar Coordination: Manage the master calendar, and stay abreast of financial, program, and marketing calendars.
    • Team Collaboration: Work closely with other departments to support their objectives and integrate their needs into organizational development and structure.
    • Community Engagement: Engage with the local and online community to foster relationships and partnerships that promote wellness and mental health awareness.

    WORK CONDITIONS & PHYSICAL REQUIREMENTS:

    The Administrative Assistant works flexible shifts remotely with some scheduled time in the office, meeting and event settings during quarter sessions for programs, with minimal bending, stooping, sitting, and kneeling. May require long periods of standing. Exposure to animals, plants, perfume/incense, and nuts. May require infrequent lifting up to 50 lbs. May require some local travel.

    QUALIFICATIONS:

    • Residency in Washington State with a willingness to volunteer on-site as needed.
    • Excellent verbal and written communication abilities.
    • Proficient in using office software and technology for virtual collaboration.
    • Previous experience in administrative roles or nonprofit organizations is a plus.
    • Strong organizational skills, attention to detail, and the ability to manage multiple projects simultaneously.
