About the Role
The Administrative Assistant to the CEO serves as a primary assistant to their assigned senior/executive leader performing a wide variety of duties and responsibilities that are, and can be complex, sensitive, and confidential administrative support functions. This position's description can be altered or changed anytime at the discretion of an assigned corporate leader.
What You’ll Be Doing
- Serve as primary assistant to high level leaders, representing the executive team in interactions with internal and external parties
- Support their assigned senior leader with accounting, Finance, and operations, along with administrators/executives with their respective positions, projects and functions as directed by their assigned senior leader
- Maintain an executive calendar; coordinate, arrange and confirm meetings; arrange for meeting setup and refreshments
- Perform a wide variety of administrative duties to support the work of the executive team including but not limited to helping in the preparation of office budgets and monitoring budget expenditures, reviewing and preparing requests for payment, drafting special requests
- Schedule meetings or conference calls for their assigned senior leader, review and conduct research and assemble and summarize information from a variety of sources for special projects and reports on behalf of the organization
- Serve as liaison with internal and external parties directed by their assigned senior leader
- Provide direction to other administrative support staff with respect to financial activities and overall compliance matters; and perform related duties as assigned by their assigned senior leader
- Review, proofread and edit all reports and agenda items for assigned senior leader including marketing and email material
- Maintain files for organization materials; provide information to members at the direction of the assigned senior leader
- Assist with functions of the marketing and development departments as directed by their senior leader
- Analyze complex, sensitive problems and situations, evaluate alternatives and make sound appropriate recommendations for the organization
- Research on behalf of senior leader laws, codes, regulations, rules and policies applicable to areas of responsibility related with financial reporting and general internal and external compliance
- Organize, research and maintain office filing systems and document management databases
- Track and ensure expense reports for assigned senior leader are processed in a timely manner
- Oversee specific positions and projects of the organization directed by their assigned senior leader
What You Bring to the Role
- Must be proficient in Microsoft Office with the ability to learn new software and computer systems as well as advanced use of PowerPoint, spreadsheet, graphics and other business management software;
- Must be flexible and be able to work in a high change, quick paced environment;
- Should have basic nonprofit finance and accounting, general operations ordinances, rules, policies and procedures, or willing to learn;
- Must be a team player and be willing to receive and act on the direction, and motivated to take on responsibility to completion;
- Must be able to relate on a cross cultural level as well as display good personal and interpersonal skills in the office;
- Should be self-motivated;
- Should be available for occasional travel
- Engaging/responsive, and proactive communication
- Proficient in Google Suite and open to learning new tools.
- Adaptable, collaborative, and self-motivated
- Establish and maintain highly professional effective working relationships with senior management, and other appointed officials, including staff, community and business leaders, donors, board members, and others encountered in the course of work
- Use a high degree of tact, discretion and diplomacy in dealing with sensitive situations and concerned groups and/or individuals
