    Reports To: Director of Human Resources & Operations

    Works Closely With: Program Managers, Training Team, Department Leads, HR Team

    Mentor A Promise (MAP) is a New York City–based nonprofit dedicated to empowering youth experiencing housing instability through mentorship, education, and community. Our work is powered by volunteers—and the strength of our programs depends on how well those volunteers are supported, organized, and retained.

    About PromisePeople | Human Resources & Volunteer Operations

    PromisePeople is responsible for the full volunteer lifecycle—from onboarding and training to engagement and retention. The division ensures that every volunteer has a clear role, strong support, and a meaningful experience aligned with MAP’s mission.

    Role Overview

    We are seeking a Volunteer Operations Coordinator to manage the day-to-day systems that support volunteer onboarding, tracking, communication, and engagement.

    This role ensures that volunteers are not only brought into the organization—but integrated effectively, supported consistently, and retained over time.

    This is a systems and coordination role that creates structure across a growing volunteer base.

    Key Responsibilities

    Volunteer Onboarding & Integration

    • Coordinate onboarding processes for new volunteers (accounts, access, documentation)
    • Ensure volunteers understand their roles, expectations, and reporting structures
    • Track onboarding completion and readiness

    Volunteer Tracking & Systems Management

    • Maintain accurate records of volunteer roles, departments, and participation
    • Track attendance, engagement, and activity across teams
    • Support time tracking systems and compliance (e.g., Clockify or alternatives)

    Communication & Coordination

    • Serve as a central point of coordination across volunteers and departments
    • Ensure volunteers receive timely updates, resources, and guidance
    • Support internal communication systems (Google Workspace, Chat, Calendar)

    Engagement & Retention

    • Monitor volunteer engagement and identify risks of disengagement
    • Support initiatives to improve volunteer experience and retention
    • Gather feedback and surface insights to HR and leadership

    Operational Support & Continuous Improvement

    • Identify gaps in onboarding, tracking, and communication systems
    • Recommend and implement improvements to volunteer operations
    • Support documentation of workflows, policies, and processes

    Cross-Team Alignment

    • Work with Program, Training, and Department Leads to ensure volunteers are effectively placed and supported
    • Maintain timely, professional responsiveness via Google Workspace

    Qualifications

    Required

    • Strong organizational and coordination skills
    • Ability to manage systems, data, and multiple workflows
    • Strong communication and follow-through
    • Comfort working across teams in a fast-moving environment
    • Alignment with MAP’s mission and dignity-centered values

    Preferred

    • Experience in HR, operations, volunteer management, or program coordination
    • Experience with tracking systems or project management tools
    • Familiarity with onboarding processes and organizational systems
    • Experience in nonprofit or mission-driven organizations

    Commitment

    • Volunteer role
    • Approximately 5–10 hours per week
    • Minimum 6-month commitment preferred
    • Hybrid / remote, with optional NYC-based collaboration
