    Arts4Schools 10th Anniversary Festival Planning Committee

    Help Us Celebrate 10 Years of Impact!

    Arts4Schools is preparing for its biggest celebration yet, our 10th Anniversary Festival, honoring a decade of transforming lives through the arts while raising funds to ensure our mission continues for years to come.

    We are seeking passionate volunteers, professionals, artists, community leaders, and supporters to serve on our Festival Planning Committee. Whether you have a few hours each month or would like to take on a leadership role, there is a place for you.

    Committee Opportunities

    Festival Director

    Provides overall leadership, coordinates committee meetings, oversees timelines, and ensures all committee teams work together successfully.

    Venue & Logistics Team

    Researches and secures the festival location, coordinates site visits, assists with room layouts, parking, accessibility, vendor placement, signage, equipment, permits, and day of event logistics.

    Corporate Sponsorship Team

    Builds relationships with businesses, foundations, and community partners, secures sponsorships, in-kind donations, and develops long-term partnerships.

    Fundraising & Auction Team

    Plans fundraising activities, secures silent and live auction donations, coordinates raffles (where permitted), manages donor recognition, and helps maximize fundraising opportunities during the event.

    Vendor & Artist Relations Team

    Recruits artists, artisans, authors, cultural organizations, exhibitors, and marketplace vendors while coordinating booth assignments and participant communications.

    Entertainment & Programming Team

    Schedules performances, coordinates performers, speakers, demonstrations, workshops, cultural presentations, and develops the festival program.

    Community Outreach Team

    Reconnects with former students, families, alumni, teaching artists, schools, educators, principals, PTOs, volunteers, board members, and community organizations to invite them to participate and attend.

    Marketing & Public Relations Team

    Promotes the festival through newspapers, television, radio, podcasts, community calendars, newsletters, blogs, and community organizations while helping increase public awareness.

    Digital Marketing & Social Media Team

    Creates engaging content for Facebook, Instagram, LinkedIn, YouTube, TikTok, and email campaigns. Assists with graphics, videos, photography, livestreaming, and online engagement before, during, and after the festival.

    Volunteer Coordination Team

    Recruits, trains, schedules, and supports volunteers while ensuring every area of the festival is fully staffed.

    Hospitality Team

    Coordinates guest services, VIP reception, speaker hospitality, volunteer refreshments, registration, information tables, and ensures every guest feels welcomed.

    Decorations & Experience Team

    Designs the atmosphere of the festival, including decorations, signage, centerpieces, displays, photo opportunities, children's activities, and interactive experiences.

    Government & Community Relations Team

    Builds relationships with elected officials, civic organizations, chambers of commerce, tourism offices, colleges, universities, and community leaders while securing proclamations and community support.

    Finance & Budget Team

    Tracks expenses, sponsorship income, vendor payments, auction proceeds, ticket sales, and assists with financial reporting and accountability.

    Grant & Resource Development Team

    Identifies grants, community funding opportunities, donated materials, equipment loans, printing, supplies, and other resources that reduce festival expenses.

    Media & Storytelling Team

    Collects testimonials, interviews alumni, captures photos and videos, documents the festival, and preserves the stories of Arts4Schools' impact over the past ten years.

    Safety & Operations Team

    Works with venue staff, security, emergency services, and volunteers to ensure a safe, organized, and family-friendly environment.

    Volunteer Expectations & Responsibilities

    Thank you for volunteering with Arts4Schools! Your time, talents, and commitment are helping us celebrate 10 years of impact while building a brighter future for children through the arts.

    Our festival will only be successful if we work together as one team. Every volunteer plays an important role.

    Our Mission

    We believe Everything is an Art. Through creativity, education, and community partnerships, Arts4Schools empowers children, schools, artists, and families to discover their gifts and strengthen their future.

    Volunteer Expectations

    1. Be Committed

    If you accept an assignment, please complete it by the agreed upon deadline. If circumstances change, notify your committee chair as soon as possible.

    1. Communicate Regularly

    Stay in contact with your committee chair. Respond to emails, phone calls, or text messages within 24 to 48 hours whenever possible.

    1. Represent Arts4Schools Professionally

    Every interaction reflects our organization. Be courteous, respectful, and professional when speaking with businesses, schools, artists, sponsors, and community members.

    1. Keep Accurate Records

    Document every phone call, meeting, email, donation, sponsorship lead, and follow up. This helps us stay organized and prevents duplicate efforts.

    1. Work as a Team

    Support one another, share ideas, and communicate challenges early. No one is expected to do everything alone.

    1. Respect Confidentiality

    Do not share donor information, sponsorship discussions, financial information, or personal contact information outside of the committee.

    1. Follow Through

    If you make a commitment to contact someone or gather information, complete the task or communicate if additional assistance is needed.

    1. Be an Ambassador

    Help spread excitement about the festival. Invite others to attend, volunteer, sponsor, donate, or participate.

    Volunteer Responsibilities

    Depending on your committee, you may be asked to:

    • Research and recommend venues.
    • Contact potential sponsors.
    • Recruit artists and vendors.
    • Promote the festival through social media.
    • Contact schools, teachers, alumni, and former participants.
    • Recruit volunteers.
    • Secure auction items.
    • Assist with fundraising efforts.
    • Coordinate entertainment.
    • Help with decorations and event setup.
    • Welcome guests and provide hospitality.
    • Assist with registration.
    • Take photographs or videos.
    • Help with cleanup after the event.
    • Serve as a festival ambassador in the community.

    Monthly Committee Meetings

    Committee members are expected to attend planning meetings whenever possible. If you cannot attend, please notify your committee chair and provide an update on your assignments before the meeting.

    Reporting Progress

    Please provide regular updates that include:

    • Tasks completed
    • Contacts made
    • Opportunities identified
    • Challenges encountered
    • Assistance needed
    • Next steps
