Role & Reporting Structure
Role: Database Volunteer (DV)
Status: Volunteer (Unpaid)
Reports to: Director of Development/Executive Director
Location: Remote (with some in office time for onboarding and involved projects)
Time Commitment: Approximately 5-7 hours per week, with a flexible schedule coordinated with the development team. A minimum 3-month commitment is preferred.
Summary
Support the team by maintaining accurate donor and constituent records, processing gift entries, sending tax receipts, and generating reports that inform fundraising strategy. This role is essential to our ability to steward donors and track progress toward our mission.
Responsibilities
- Enter and update donor gifts in the donor management database accurately and in a timely manner
- Maintain and clean donor records, including contact information, giving history, and acknowledgment status
- Build and run standard fundraising reports (weekly gift report, monthly gift report, giving summaries, lapsed donors, campaign progress) on a regular or as-needed basis
- Flag data discrepancies or duplicate records and work with staff to resolve them
- Assist with gift acknowledgment preparation, including generating thank-you letters or tax receipts
- Support special projects such as year-end giving campaigns, mailings (may require being in person), grant reporting data pulls, or database migrations as needed
Job Requirements
- Comfort with databases or spreadsheets
- Strong attention to detail and accuracy
- Ability to handle confidential donor information with discretion
- Reliable communication with staff
Preferred Qualifications
- Experience with donor/customer CRMs (e.g., Virtuous, Salesforce, VOMO)
- Background in nonprofit fundraising or development
- Experience generating data reports or basic data analysis
Core Competencies
- Data entry accuracy — entering gift and contact information correctly and consistently, with minimal errors
- Database navigation — ability to learn and work within a donor/customer CRM (search, filter, update, merge records)
- Report generation — running standard queries and exports; presenting data in a usable format for staff
- Data quality management — identifying duplicates, incomplete records, and inconsistencies and resolving them
- Attention to detail — catching errors before they affect donor relationships or financial records
- Time management — reliably completing tasks within a 5 to 7hour weekly window without close supervision
- Follow-through — seeing data tasks to completion, especially during high-volume periods like year-end giving
- Confidentiality & discretion — handling sensitive donor financial information with appropriate care and professionalism
- Communication — proactively updating staff on task status, flagging issues, and asking clarifying questions when needed
- Coachability — willingness to learn the organization's specific systems, processes, and data standards
- Reliability — showing up consistently; the development team depends on timely data to acknowledge donors and make fundraising decisions
