Reports to: Programs Committee Chair
Commitment: Approximately 5-10 hours per week during peak planning and recruitment periods, with lighter hours during the off-season
Term: Fall 2026 through Summer 2027
Position Overview
Leveling the Fields is seeking an organized, outgoing, and relationship-driven volunteer to serve as our Camps & Clinics Coordinator.
In Summer 2027, Leveling the Fields expects to offer at least 29 sports camps, with the possibility of adding more. The Camps & Clinics Coordinator will lead our efforts to identify, recruit, and secure qualified coaches for each camp.
The coordinator’s primary responsibility will be ensuring that every camp has a committed head coach and assistant coach. This person will also build and maintain a strong network of local coaches, athletes, teachers, athletic departments, sports organizations, and other community partners who may support future Leveling the Fields programming.
Key Responsibilities
- Build and maintain a centralized database of local coaches and prospective coaches across multiple sports.
- Develop relationships with high school and college coaches, student-athletes, PE teachers, athletic departments, recreation departments, sports clubs, and other community partners.
- Recruit and secure one qualified head coach and one assistant coach for each of our 29 or more Summer 2027 camps.
- Clearly communicate camp dates, locations, expectations, compensation, and Leveling the Fields’ mission to prospective coaches.
- Track outreach, responses, availability, commitments, and outstanding coaching needs.
- Follow up with prospective coaches and maintain regular communication with confirmed coaches.
- Help identify backup coaches in case of cancellations or scheduling conflicts.
- Coordinate with the Programs Committee to ensure all coaches complete required paperwork, agreements, and background checks.
- Provide regular updates on recruitment progress, open positions, and potential challenges.
- Help create a strong, positive experience that encourages coaches to return for future camps, clinics, and programs.
Ideal Candidate
The ideal volunteer is:
- Highly organized and comfortable managing many people, dates, and details at once.
- Confident reaching out to new people and building professional relationships.
- Persistent with follow-up and comfortable making direct asks.
- A strong written and verbal communicator, able to do follow-up and cold calls.
- Dependable, responsive, and able to work independently.
- Comfortable using spreadsheets, shared documents, email, and basic tracking systems.
- Connected to the local sports community or excited to begin building those connections.
- Passionate about expanding opportunities for girls through sports.
Experience in coaching, athletics, recruiting, volunteer coordination, program management, or community engagement is helpful but not required.
What Success Looks Like
By the start of Summer 2027:
- Every Leveling the Fields camp has a confirmed head coach and assistant coach.
- Backup coaching options have been identified whenever possible.
- Coach contact information, qualifications, availability, and outreach history are accurately documented.
- Leveling the Fields has a growing network of local coaches and sports professionals who can support future camps, clinics, and programs.
- Coaches feel informed, prepared, valued, and connected to the Leveling the Fields mission.
