    About Pathos Wildlife

    Pathos Wildlife is a new and growing conservation organization dedicated to protecting wildlife through research, technology, and community-driven conservation initiatives. Our work focuses on supporting rare and understudied species and ecosystems through a combination of field research, collaboration, and science-driven conservation strategy.

    We develop and support active conservation projects in partnership with researchers, field teams, volunteers, and local collaborators. As our organization continues to grow, strong administrative systems are essential to keeping our work organized, efficient, and sustainable.

    Role Overview

    We are seeking a highly organized and detail-oriented volunteer Administrative Coordinator to support the day-to-day administrative operations of Pathos Wildlife.

    This role is focused on keeping the organization organized behind the scenes. The Administrative Coordinator will help maintain internal systems, documentation, schedules, communications, records, and organizational workflows so that our staff, volunteers, researchers, and collaborators have the structure and information they need to work effectively.

    This is an administrative and organizational role rather than a fieldwork or research position. The goal is to help build and maintain the infrastructure that allows Pathos Wildlife's conservation work to operate smoothly as the organization grows.

    Key Responsibilities

    • Support the weekly administrative operations of Pathos Wildlife
    • Maintain and organize organizational documents, records, files, and internal resources
    • Help manage calendars, meetings, schedules, and administrative deadlines
    • Assist with coordinating communications across staff, volunteers, researchers, and collaborators
    • Help maintain internal databases, contact lists, and organizational records
    • Assist with volunteer onboarding, coordination, and administrative follow-up
    • Track administrative tasks, deadlines, and outstanding action items
    • Help organize organizational meetings and prepare agendas, notes, and follow-up items
    • Assist with preparing internal documents, forms, reports, and other administrative materials
    • Help establish and improve organizational systems, workflows, and procedures
    • Support the organization of grant, permit, partnership, and project-related documentation
    • Ensure important information is properly organized, accessible, and kept up to date
    • Assist with general administrative tasks as needed to support Pathos Wildlife's operations

    Preferred Skills (But Not Required)

    • Strong organizational and administrative skills
    • Excellent attention to detail
    • Strong written and verbal communication skills
    • Experience with administration, office management, nonprofit operations, or organizational support
    • Ability to manage multiple tasks, deadlines, and priorities
    • Comfortable working independently and taking initiative
    • Familiarity with Google Workspace, Microsoft Office, spreadsheets, databases, or similar organizational tools
    • Ability to maintain organized digital files and documentation
    • Reliable follow-through and strong time-management skills
    • Interest in wildlife conservation, environmental work, or nonprofit organizations is a plus

    Time commitment can be adjusted based on availability and organizational needs. The role may involve recurring administrative responsibilities as well as occasional short-term tasks and projects.
