About our organization
The Preventive Search and Rescue Initiative, a 501(c)(3) nonprofit focused on preventing hiking and outdoor incidents, is seeking a Virtual Volunteer Manager & Administrative Coordinator.
We’re a growing organization that has already accomplished a great deal, with volunteers contributing their time and skills across multiple projects. As our work expands, our founder needs a dependable, organized person who can help coordinate the team, keep track of progress, and move important work forward.

About the role
You’ll work directly with the founder to help manage volunteer coordination and day-to-day administration. You’ll know who is working on what, what each person needs, which commitments are coming up, and where follow-up is needed.
We’re looking for someone who enjoys bringing people and projects together, takes ownership of responsibilities, and follows through consistently. You should be comfortable reaching out to people, asking for updates, organizing information, and helping volunteers stay engaged.
This is an important position with room to contribute ideas and improve how we work. Your involvement will help the founder stay informed about activities across the organization and give volunteers the communication and direction they need to contribute effectively.
What you’ll do
- Maintain an organized record of volunteers, their roles, availability, assignments, and progress.
- Check in with volunteers, follow up on commitments, and identify where people need guidance or assistance.
- Keep the founder informed about project updates, upcoming deadlines, unanswered questions, and decisions that need attention.
- Help welcome new volunteers and make sure they understand their responsibilities and next steps.
- Coordinate emails, meetings, scheduling, reminders, and everyday administrative tasks.
- Organize shared documents and spreadsheets, conduct Google searches, and find information that supports our work.
- Help volunteers stay engaged through clear communication, appreciation, and an understanding of what motivates people to contribute.
Who we’re looking for
- Dependable and organized, with consistent follow-through and attention to detail.
- Friendly and comfortable communicating through email, phone calls, video meetings, and text messages.
- Able to manage several priorities and keep track of people, tasks, and deadlines.
- Comfortable using Gmail, Google Docs, Google Sheets, Google Drive, and online calendars, with a willingness to learn other tools.
- Resourceful with Google searches and everyday online research.
- Able to work independently, take initiative, and collaborate with people who bring different skills and working styles.
- Familiar with volunteering and what helps volunteers stay motivated. Experience in volunteer coordination, administration, project coordination, or team management is especially helpful.
Time commitment and availability
This is an unpaid, fully remote volunteer position. We’re seeking someone who can contribute at least 10 hours per week and would like to develop an ongoing relationship with the organization.
The schedule is flexible, and regular availability throughout the week is important. The role includes checking email consistently and being comfortable receiving occasional texts and participating in brief coordination conversations. We’ll agree on a communication schedule that works for you and the founder.
