The HR Operations Specialist for the Systemic Change Portfolio (CPWC) is a critical role focused on the "engine room" of our volunteer lifecycle. You will ensure that the transition from recruitment to active contribution is seamless, compliant, and data-driven, helping us scale our impact globally.
Key Responsibilities
- Systems & Data Management: Maintain and update volunteer records within our Tracking System (ATS), ensuring 100% data accuracy and confidentiality.
- Process Optimization: Analyze existing HR workflows—from sourcing to offboarding—and suggest digital tools or automation (e.g., Google Suite, MS365, Slack, Teams) to improve efficiency.
- Onboarding Coordination: Manage the "Golden Hour" of the volunteer experience by overseeing orientation, document collection, and tool access (Slack, Google Drive, etc.).
- Policy Implementation: Assist in developing and enforcing HR Standard Operating Procedures (SOPs) tailored to a global, virtual volunteer workforce.
- Query Resolution: Serve as the primary point of contact for volunteer inquiries regarding internal policies, roles, and engagement procedures, responding within 48 business hours.
- OPT:
- Regulatory Alignment: Ensure all volunteer roles for OPT students remain compliant with USCIS "Volunteer" guidelines
- Validation & Reporting: Manage the 6-month and 12-month self-evaluations required for STEM OPT, ensuring the "Official Signatory" reviews and signs off on time.
- Letter of Support: Issue "Employment Verification Letters" (EVL) confirming the volunteer status, hours per week (must be $20+$ hours for OPT), and the relationship of the tasks to the student’s degree.
- Time Tracking & Active Status
- Threshold Monitoring: Monitor weekly logs to ensure OPT volunteers maintain the minimum 20 hours/week required by SEVIS to avoid "unemployment days."
- System Audit: Weekly reconciliation of hours. If a volunteer falls below the threshold, trigger an immediate check-in to protect their visa status.
- Attendance Records: Maintain a "Proof of Participation" ledger, which is essential for students if they are audited by USCIS in the future.
- Separation & Offboarding:
Exit Workflow: 1. Conduct Exit Interview. 2. Revoke Slack/Drive/Email access. 3. Issue a "Certificate of Service" detailing total impact hours.
- Compliance & Audit: Ensure all volunteer engagements adhere to internal governance and relevant data privacy regulations.
Required Qualifications & Skills :
- Degree in HR
- Knowledge on HR process and compliance
- Excel, Outlook, MS office and MS365 Knowledge
- 2-3 years of experience in HR Field required
Commitment & Logistics
- Time: 5–10 hours per week (flexible).
- Location: 100% Remote / Virtual.
- Duration: Minimum 4–6 month commitment preferred to ensure project continuity.
