POSITION OVERVIEW

The Coordinator, Volunteer & Intern Operations (the “Coordinator”) reports to and works in conjunction with the Director, Volunteer & Intern Operations and plays a key role in supporting the overall administration and development of programming for all 9/11 Memorial & Museum volunteers and interns. This includes the actual recruitment, quality oversight, record-keeping, and recognition of all volunteers and interns. The coordinator will be responsible for the onboarding of volunteers and interns, and administrative processes involved in volunteer and intern operations across the organization, to support our mission.

ESSENTIAL FUNCTIONS

  • Recruit volunteers for the program which provide the Memorial & Museum with passionate and knowledgeable volunteers committed to our mission.
  • Coordinate the recruitment of new volunteers and interns and implement strategies to meet goals based on departmental needs.
  • Guide all prospective volunteers and interns through the onboarding process, including conducting interviews and providing introductions to their role.
  • Implement volunteer appreciation and recognition elements, including special events as well as items related to specific work functions.
  • Develop and organize learning opportunities for volunteers and interns.
  • Ensure that all volunteers and interns maintain excellent standards and adhere to all 9/11 Memorial & Museum policies, procedures, systems, and standards.
  • Provide ongoing support and guidance to all volunteers and interns, ensuring they have a good experience.
  • Respond to requests for volunteers and interns across departments.
  • Implement strategies to increase the profile of Memorial & Museum volunteer and intern programs internally and externally.
  • Work with partner organizations who can provide volunteers and interns, attend recruitment events, deliver presentations and material related to volunteer opportunities.
  • Assist with updating marketing materials to recruit volunteers.
  • Develop and distribute volunteer communications, as required.
  • Oversight of security access protocols for volunteers, including termination protocol
  • Assist with implementation of employee volunteer opportunities.
  • Develop and implement any projects/tasks related to volunteer and intern program goals.
  • Maintain volunteer database, assemble relevant data, and prepare and deliver reports on volunteer and intern activities to the Director, Volunteer & Intern Operations as well as executive staff, as requested.

QUALIFICATIONS/SKILLS/REQUIREMENTS     

  • Bachelor’s degree or equivalent experience required,

o While a bachelor’s degree is preferred, we enthusiastically encourage applications from Veterans or veteran spouses with various educational backgrounds.   • A minimum of one year’s equivalent experience in a volunteer coordinator, volunteer management, volunteer recruitment, nonprofit role, or public service role.
  • Significant experience in volunteering.
  • Strong oral and written communication skills, and a professional and flexible manner.
  • Exceedingly well-organized with excellent attention to detail.
  • Ability to prioritize, manage multiple projects simultaneously, keep projects on track, and execute deliverables.
  • Understand the benefits of and work as a team player.
  • Proficiency in mathematics and Microsoft Office applications, particularly Word, Excel, PowerPoint, Teams, and Outlook.
  • Ability to recognize the importance of responsibility, authority, and accountability, and respond accordingly.
  • A willingness to work non-traditional hours, think independently, take initiative, be self-directed, and meet deadlines.
  • Strong interpersonal skills with the ability to interact well with a wide range of people and personalities of all levels within and outside the Memorial & Museum.
  • Experience with database management and Adobe Acrobat a plus.
  • Capacity to handle sensitive information and topics with the utmost professionalism.
  • Must adhere to a policy of strict confidentiality in terms of information regarding 9/11 victims, bid documents, security and life safety incidents, and labor relations.

  • Participate in the annual 9/11 commemoration and 5K fundraiser, as assigned.
  • Assist with other special projects and events in support of the 9/11 Memorial & Museum, as necessary.

The work environment is an indoor, climate-controlled office environment comprised of cubicles, walled-offices and group conference rooms. The noise level in the office environment is usually low. Employees will be required to comply with the organizational Health and Safety Plan. Minimal travel is required.
