Our Children’s Trust is seeking an Executive Assistant to join our team.  

The Executive Assistant is a salary, non-exempt position. The annual salary range is $47,492- $52,785 and is benefit eligible. Benefits include 100% employer paid medical and dental for employee, long and short-term disability, life insurance, SIMPLE IRA plan with employer match, generous vacation, sick and holiday leave including restorative leave after 6 years.  

This position is a remote eligible position, though being in Eugene, OR or Portland, OR is highly preferred. Work is primarily performed Monday through Friday during regular business hours; however, evening and weekend hours may be necessary dependent upon case activity, deadlines, and workload. Some travel may be required at the cost of Our Children’s Trust.

Position Summary:  

Executive Assistant will provide high-level administrative support to the Co-Executive Director and General Counsel (Co-Executive Director), who oversee the Operations, Communications and Development Teams. The Executive Assistant will provide support for the above-mentioned teams through routine tasks and special projects. Executive Assistant will provide any and all support to allow the Co-Executive Director to perform their managerial duties, which includes having access to and providing input on confidential organizational matters.  

 

Key Responsibilities: 

  • Calendar and Travel Management: Maintain the Co-Executive Director’s calendar, including scheduling meetings, appointments, speaking engagements, and travel (may include domestic and international) arrangements while exercising discretion in committing time and evaluating needs. 
  • Organizing Meetings: The executive assistant will play a crucial role in organizing, arranging, and facilitating meetings, ensuring that all necessary materials are prepared in advance as well as taking minutes and doing post-meeting follow-up's  
  • Correspondence: The executive assistant will serve as a liaison between the Co-Executive Director, OCT leadership, staff, and board members, and external partners. This includes responding to emails and phone calls with efficiency and the appropriate levels of care, professionalism, and confidentiality and building relationships of trust with all stakeholders.  
  • Document Preparation and Maintenace: The executive assistant will draft letters, memos and documents while maintaining proper document storage to both uphold confidentiality and ease of access.  
  • Priority Coordination: The executive assistant will look for ways to increase Co-Executive Director bandwidth by determining priority of requests, tasks and projects and redirecting to staff to handle, or handle personally, as appropriate as well as analyzing patterns to find out how to manage business tasks even more efficiently 
  • Organizational Knowledge: The executive assistant will develop and maintain a comprehensive understanding of organizational policies, procedures, and operations to conduct duties and responsibilities effectively and efficiently. 

An ideal candidate will have: Strong ownership mentality; nonprofit experience; excellent organizational skills and attention to detail; excellent time management skills with a proven ability to meet deadlines; ability to function well in a high-paced and at times stressful environment; extensive knowledge of office administration, clerical procedures, and recordkeeping systems; extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software. 

  

Minimum Required Education and Experience 

  • Six years of experience as administrative assistant or office assistant, legal secretary or legal assistant. 
  • -OR- Associate’s degree plus four years of related experience  
  • -OR- Bachelor's degree plus two years related experience
