With the exception of immigration detention facilities, the United States lacks a formal system to address the needs of asylum seekers and other underserved newcomers. AsylumWorks was created to bridge this gap.  


Founded in 2016, AsylumWorks provides culturally and linguistically appropriate services to help newcomers meet their basic needs, participate in immigration legal proceedings, and access opportunities needed to integrate into their new communities. Direct client services are free and available to individuals and families living in Maryland, Washington, D.C., and Northern Virginia, regardless of language, country of origin, race, religion, sexual orientation, or gender expression. To scale our impact beyond the National Capital Region, AsylumWorks creates and shares expert tools and training resources to support newcomer-serving organizations nationwide. 


JOB DESCRIPTION

AsylumWorks is seeking a full-time Executive Assistant to provide administrative support to the Executive Director and Chief of Staff related to operations and back-office functions. This position will be supervised by the Chief of Staff. AsylumWorks is a hybrid workplace; this position may work from home up to two days a week.

You are seeking a role that can leverage your organizational and administrative skillsets. You are enthusiastic about the provision of direct services but prefer to support a mission-driven organization in the back office to support the organization to be efficient, effective, and equitable. You want to work for an organization that can make a pivot in a month, not a year. You are looking for a role that allows you to lean into your strengths in project coordination and hope to learn more about the inner workings of a growing nonprofit organization. 


RESPONSIBILITIES

  • Support Leadership with select administrative and operations work
  • Organize quarterly staff events and celebrations
  • Support virtual and in-person event planning
  • Assist with preparing for employee onboarding and technology training (Google Suite)
  • Facilitate emergency cash assistance distribution to clients
  • Form and maintain partnerships to stock community resources at the AsylumWorks Community Co-op
  • Compile and review employee timesheets
  • Track office supplies & stock kitchen inventory weekly; manage facilities and office space
  • Provide technical support on Zoom webinars, review slide decks
  • Oversee FedEx, UPS, and USPS shipments
  • Respond to general email and phone external inquiries
  • Provide logistical support for quarterly board meetings
  • Coordinate bookkeeping
  • Support special projects as they arise


REQUIREMENTS

  • Bachelor’s Degree in a relevant field preferred;
  • 1+ years experience in event planning and coordinating event logistics;
  • Previous experience as an executive or administrative assistant helpful;
  • High proficiency in Google Suite and associated applications (Drive, Docs, Sheets, Slides, Admin Console);
  • Ability to work collaboratively in an interdisciplinary, multicultural setting;
  • Able to smoothly juggle a variety of different projects with similar deadlines;
  • Highly detail oriented;
  • A demonstrated awareness of cultural humility;
  • Strong interpersonal communication skills;
  • Proactive, “can do” attitude;
  • An inherent desire to improve, create, and problem-solve;
  • Fluency in English;
  • Must be able to lift up to 20lbs (ex: packages, office supplies);
  • Must be eligible to work in the U.S.; and
  • Must be fully vaccinated against COVID-19.


SALARY

$48,000-52,000 commensurate with experience.
