Operations Manager

Organization: Present Music

Type of Employment: Full-time employee

Compensation: $40,000-45,000 per year

Scheduled Hours: Flexible, including some night/ weekend hours for performances

Location: Hybrid (local and remote). Position requires in-person attendance at Present Music performances, Development events, monthly Board of Director and Committee meetings, and weekly staff meetings.

Requirements: Must live in or near Milwaukee, WI and have own computer, telephone, and have regular access to high-speed internet.

About Present Music

Present Music (PM) is one of the nation’s leading ensembles specializing in the commissioning and performance of new music, performing an average of six main events per season. Its mission is to engage artists and audience members in imaginative and provocative experiences with new music through ensemble performance and education. Based in Milwaukee and founded in 1982, Present Music has worked closely with many of the nation's most exciting and important composers and has firmly established one of the largest audiences for new music in the country.

Job Summary

This role would suit an individual passionate about music and interested in making an impact in the Milwaukee performing arts community. This individual will serve as a member of the Present Music administrative team reporting to the Managing Director. The Operations Manager will support the Managing Director with processes related to overall operations including event planning and execution, finance, development, marketing, educational outreach, box office, audience development and production planning. Specific assignments will be determined by the Managing Director on an ongoing basis, and are dependent on staffing at PM and the experience and interests of the candidate applying. Duties include the following:

Key Responsibilities:

Execute ongoing operations of Present Music

  • Set and execute ongoing priorities as aligned with Managing Director and other PM staff
  • Drive project, event, development, and outreach activities, including (but not limited to) artist logistics and collaboration, coordination with presenters, selection and management of vendors and volunteers
  • Communicate schedules, tasks, materials and other related information with PM staff/ Board of Directors, performing artists, composers, presenters, vendors, etc. participating in each project or event
  • Support on-site management of PM productions at all levels and with all involved parties
  • Manage monthly Board of Directors meeting communications, materials, and filing of minutes per by-laws
  • Maintain records and documents on Sharepoint and Google Drive
  • Manage office tasks, including handling music orders and distribution, incoming/ outgoing mail, depositing checks/ check requests, fielding general inquiries, and other

oSupport Present Music marketing activities

  • Maintain PM website, updating with events calendar and other relevant content
  • Help plan, develop, and execute promotions and patron communication
  • Coordinate marketing material development, procurement, and distribution
  • Participate in execution of marketing activities, including (but not limited to) radio, print, web, and social advertising
  • Participate in monthly Marketing Committee meetings

Support Managing Director and Development Manager on development activities

  • Research funding opportunities in collaboration with the Managing Director and Development Manager
  • Maintain accurate and up-to-date data in donor database (Donor Perfect) 
  • Participate in monthly Development Committee meetings

Support Managing Director with financial planning and reporting

  • Help develop and report against projects, events, and annual budgets
  • Track donations, revenues, and payments
  • Work with box office staff to ensure accurate information across platforms and accurate ticket income reconciliation following events
  • Support with document preparation and other activities required for tax preparation

Drive overall consistency of process across all Present Music activities

  • Develop and document key processes, including owners and responsibilities
  • Proactively schedule and maintain performance, outreach, development, etc. calendars based on key milestones and across PM staff
  • Collaborate with PM staff on simplification and optimization of processes and procedures

Other related duties as assigned

Relationships

  • Reports to Managing Director – Present Music
  • Internal relationships:
  • Strong partnership with Artistic Director and Development Manager
  • Works closely and often independently with members of the Board of Directors

External relationships:

  • Helps manage work of external contractors, including media developers, promoters, agencies, publishers, and others as required
  • Collaborates with venue managers, artists, grant managers, box office staff, community partners, donors, and others as required

Qualifications and Skills

  • 3-5 years minimum of professional experience in nonprofit arts management or related field
  • Bachelor’s degree (preferred)
  • Exceptional ability to multitask and strong project management skills
  • Excellent writing and editing abilities
  • Background in the arts or affinity for the arts (preferred)
  • Proficiency in Word and Excel
  • Proficiency in preparing budgets/financials (preferred)
  • Marketing, graphic, and/or web design experience (preferred)
  • Experience writing grants and successfully securing funds (preferred)
  • Experience using donor tracking software (preferred)
  • Knowledge and understanding of professional codes of ethics and best practices in grants management/writing (preferred)
  • Strong interpersonal and communication skills
  • Motivated, flexible, and willing to learn
  • Able to work effectively in a virtual environment
