Summary: Youth Empowerment for Advancement Hangout (YEAH) is a Black-led, community-based non-profit supporting teens and young adults in West and Southwest Philadelphia ages 15 to 24 who are impacted by violence. YEAH works to create safe and authentic hangout spaces by providing culturally relevant engagement and implementing teen led interventions to address the root causes of violence. Utilizing teen action through peer led mediation and conflict resolution, community engagement, and economic opportunities, YEAH interrupts the cycle of youth community violence. YEAH acknowledges teens and young adults as the experts of their own lives and prioritizes pushing back against oppressive systems and addressing structural barriers that often lead to violence. 

 Essential Duties & Responsibilities: The Organizational Assistant will be responsible for assisting with the day-to-day financial, operations, and administrative office tasks that help YEAH Philly function as a newer and growing organization. This position will work with various staff members including the accounting director and primarily provide support to the executive staff.  A strong plus if you have entry level HR experience.

 Job Requirements: Philadelphia resident or residency within 6 months required. High School diploma required; Bachelor’s degree preferred. Candidates must have superb organizational and administrative skills and must have previous experience with administrative, finance, and operational duties; previous assistant or office assistant experience preferred; must be detail oriented, know how to take initiative, be action oriented, and have excellent verbal and written communication skills. Candidates who identify racially or ethnically as Black or Brown and have been personally impacted by the criminal legal system or violence (directly or indirectly) are strongly encouraged to apply.

 Primary Responsibilities:

Day-to-day financial tasks 

o   Responsible for financial records, invoices, and receipts

o   Reconcile petty cash receipts

o   Obtain W9 from new vendors and enter into accounting system

o   Prepare yearly 1099 filings

o   Assist with financial audits 

o   Process donor acknowledgement letters and donor gifts

o   Record donations in Stripe

o   Enter and process payroll in accounting system

o   Enter daily budgets and expenses in accounting system

o   Maintain accounting files

o   Help compile fiscal policies and procedures

o   Pay bills

 Administrative 

o  Manage calendars

o  Order meals for staff or events

o  Answer phones and follow up with voicemails/returning calls 

o  Maintain inventory list and stock necessary supplies

o  Manage/maintain organizational insurances and assist with completing yearly insurance audits such as workman’s comp, D&O, etc. 

o  Shipping and mailing/post office runs as necessary

o  Manage service requests, e.g., printer, internet, etc.

o  Data entry 

o  Assisting executive staff with daily tasks as needed

o  Coordinating and assisting with planning event logistics 

o  Maintain Septa Key cards for staff and participants

o  Filing and organizing

o  Submit copier meter readings

 Additional Responsibilities:

o  Assisting community members who walk in & need assistance

o  Other duties as assigned

Compensación

Full benefits package. Employer pays 85% of total benefits package (health, dental, vision, FSA after 60 days). 160 hours of PTO for the first year (80 hours personal and 80 hours of set company days off), with paid company holidays off. Paid professional development and wellness perks.
