Overall Description: The Human Resource Coordinator assists in overseeing employment documentation, coordinating new hire onboarding, handling timesheets and payroll allocations for global processing groups, tracking and managing annual leave, drafting employment and consulting contracts, and providing operational support as needed. The HR Coordinator is pivotal in upholding HR processes and fostering organization's growth and development.


Grassroot Soccer (GRS) is an adolescent health organization that leverages the power of soccer to equip young people with the life-saving information, services, and mentorship they need to live healthier lives. Since 2002, GRS programs have reached 18 million young people in over 60 countries with evidence-based adolescent health programs.  


Position Summary: 

The Human Resources Coordinator will work closely with other members of the GRS Human Resources (HR) team in managing various HR and operational functions within the organization. They play a critical role in supporting the organization's HR department and contributing to its overall success and compliance with regulatory standards. This position requires a proactive and detail-oriented individual with strong communication and organizational skills. 

Responsibilities: 

Timesheet and Payroll Administration – 30%

  • Working with the Finance team, facilitate the monthly distribution of timesheets to staff, including the preparation of emails and related PDF files. 
  • Manage backend recordkeeping, including the addition and removal of employees in payroll systems, inputting monthly payroll into MIP, assigning grant-specific charge ID codes, and generating new codes as needed.
  • Oversee the monthly update of timesheet information, conducting final reviews for correct timesheet submissions before processing through Microix/Accounting systems.
  • Conduct initial and refresher timesheet training sessions, including preparation and delivery, to ensure staff compliance and understanding.
  • Coordinate with Country HR managers to adjust leave balances and manage feedback efficiently.
  • Perform annual updates and resets of Leave Codes within the Microix/Accounting systems to ensure accuracy and compliance.

Operational Support – 25%

  • Draft and manage Independent Contractor Agreements, including the preparation of an average of 20 contracts or addendums per quarter.
  • Prepare necessary contract extensions or addendums, ensuring all agreements are current and accurately reflect the terms of engagement.
  • Regularly update staff lists for The Pitch and ensure the timely dissemination of this information.
  • Maintain the Global HR shared drive within Google Workspace, ensuring that information is organized, up-to-date, and easily accessible, while also archiving outdated documents.
  • Keep all HR forms and policies current and readily available to staff, ensuring compliance with evolving regulations and company standards.
  • Manage and update benefits platforms, ensuring accurate user management (additions/removals) and timely updates to employee profiles as necessary.
  • Undertake special projects as directed by the Senior Manager, Operations & HR Compliance, and the Vice President of Operations, demonstrating flexibility and initiative in supporting broader organizational goals.


Employment Documentation Management – 25%

  • Draft and manage Independent Contractor Agreements, including the preparation of an average of 20 contracts or addendums per quarter.
  • Prepare necessary contract extensions or addendums, ensuring all agreements are current and accurately reflect the terms of engagement.
  • Accurate maintenance and distribution of terms of employment, including updates to salaries, email addresses, and follow-up communications.
  • Oversee the upkeep of personnel records for all US-based employees, ensuring all documentation is current and organized.
  • Administer consultant records, maintaining documentation for all contracted staff.

New Hire Onboarding and Integration – 20%

  • Coordinate with HR Consultant on the onboarding schedule, ensuring timely receipt of signed policies, benefits acknowledgments, tax paperwork and other essential documents from new hires.
  • Distribute GRS Orientation materials and coordinate orientation sessions for new team members.
  • Conduct background checks on employees, consultants, board members, and vendors as required.
  • Assist in organizing and scheduling GRS training sessions and coordinate additional training programs as required.


Qualifications:

  • A minimum of three years of experience in Human Resources or Operations
  • Knowledge of human resources processes and best practices
  • Experience supporting a global team is preferred
  • Strong organizational skills and attention to detail
  • Excellent communication and interpersonal abilities
  • Ability to multitask and prioritize tasks effectively
