About the role: Join our Operations team in a role that promises varied challenges and meaningful contributions. As our Program Assistant, you'll be a key part of our remote-first organization, ensuring seamless administrative operations and fostering a supportive workplace culture. Reporting directly to our Chief Operating Officer, you'll spearhead tasks ranging from coordinating mailings to managing human resources processes and organizing engaging wellness initiatives. Who we are: Code the Dream is a mission-driven nonprofit focused on expanding tech opportunities for people from diverse backgrounds, including low-income individuals, immigrants, and communities of color. We offer a suite of free tech education classes – from Intro to Programming, React.js, Ruby on Rails, to Node.js/Express. After 8 - 12 months of intensive training with Code the Dream’s online curriculum and mentors, new coders have a chance to join CTD Labs, where they gain invaluable real-world experience as full-time software development apprentices.

We are a remote-first, national organization based in North Carolina with a local office in downtown Durham. This position requires 1-2 days per week in the office, with an option to work remotely or at the office the rest of the week.

In this position your main focuses will include:

  • Assist with the basic administrative functions of running a remote-first organization, including scheduling, maintaining calendars, coordinating mailings, data-entry, coordinating travel arrangements, and maintaining an in-person office space.
  • Assist with human resources tasks, such as supporting hiring and onboarding processes for new apprentices and staff members, including posting job announcements, scheduling interviews, and working with senior staff to organize orientations.
  • Manage incoming correspondence, including emails, phone calls, and postal mail, and respond or redirect as necessary.
  • Maintain office supplies and communication materials inventory and place orders as needed.
  • Assist with basic accounting tasks like managing monthly invoices, pulling reports, and reviewing timesheets before they are processed by payroll.
  • Assist in organizing and executing virtual and in-person organizational events and meetings demo days.
  • Schedule wellness check-ins with staff and apprentices twice per year, and work with other staff to offer creative events that support employee wellbeing.
  • Collaborate with team members on special projects and initiatives as assigned.
  • Handle ad-hoc administrative tasks and projects as they arise.

This role could evolve over time as our organization grows, offering the potential to influence and shape certain operational processes.

Skills and Experience:

  • At least two years of experience in an administrative role or equivalent education.
  • Experience with online video and scheduling platforms like Zoom, Google Calendar, and Calendly, as well as familiarity with Google Suite and Microsoft Office Suite. Other platforms that are helpful to know include Slack and Airtable.
  • Strong organizational skills and meticulous attention to detail. Ability to meet deadlines, follow up with others when necessary, and follow-through with your commitments.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Strong understanding of the challenges faced by low-income individuals, people of color, immigrants, and those without US bachelor's degrees in accessing tech education and career opportunities.
  • Relationship-oriented, with exceptional communication skills and ability to connect with individuals from diverse backgrounds.
  • Collaborative and team-oriented mindset, while being self-motivated and a self-starter.
  • A proactive and innovative approach to problem-solving and a willingness to try new things and iterate on existing plans.
  • Flexible and adaptable. Willingness to chip in where needed to help and support other teammates.
  • Ability to occasionally lift up to 25 lbs. 
  • High school diploma or equivalent required, additional education is a plus. 

Not Required, but Nice-to-Haves:

  • Familiarity with coding bootcamps or tech education. 
  • Good at handling data and using it to help make decisions.
