Summary:

One Pennsylvania is seeking operations associates in both Philadelphia and Pittsburgh to work with the Operations Director to support the everyday organization and coordination of office business. We are looking for a detail and systems oriented individual to maintain strong office best practices and support One PA departments through administrative support. 


Responsibilities:

Supervisory Duties:

  • Oversees the daily work activities of the office. 
  • Oversee the Office Manager position. 
  • Act as liaison for vendors at the assigned location. 

 Other Responsibilities: 

  • Maintain employee records and paperwork by tracking employee work hours and updating records when an employee's status changes. 
  • Back up HR duties, including but not limited to payroll or explaining and providing information on employee benefits, programs, and education, onboarding and hiring.
  • Assist with timekeeping for temporary staff as needed 
  • Organizational reporting (c3, c4, IE, etc.) 
  • Budget creation and compliance tracking 
  • Assist in creating, implementing, and maintaining organizational processes and procedures.
  • Accountability partner for department goals, objectives, and timelines. 
  • Arrange or facilitate maintenance of office equipment, including printers, laptops, tablets, furniture, etc. 
  • Perform clerical duties such as answering phones, sorting and distributing mail, scheduling, travel preparation, and preparing documents. 
  • Maintains the inventory of office supplies; communicates new supply needs to Operations Director. 
  • Maintains the inventory of electronic devices in their assigned location 
  • Maintains office files; implements an efficient system for other staff to access files and records. 
  • Open the office for business at 9:00 am Monday through Friday unless otherwise directed. 
  • Provide Quality Control support for the Civic Engagement department as time allows. 
  • Performs other related duties as assigned.


Qualifications:

  • Extensive knowledge of office management procedures. 
  • Excellent verbal and written communication skills. 
  • Excellent interpersonal and customer service skills. 
  • Excellent organizational skills and attention to detail. 
  • Excellent time management skills with a proven ability to meet deadlines.
  • Proficient with Microsoft Office Suite and Google Workspace. 

Education and Experience:  

  • Associate’s degree in office administration or related field preferred. 
  • Two years of administrative and clerical experience is preferred. 
  • Event planning experience preferred 
  • Digital Communications experience is a desired trait. 

Physical Requirements:  

  • Prolonged periods of sitting at a desk and working on a computer. 
  • Must be able to lift up to 25 pounds at times. 


Compensation: 

Competitive salary range $48,000-$60,000 and benefits including a substantial amount of paid time off, optional 401K type plan with generous employer match, and fully paid health insurance.
