POSITION SUMMARY
The Manager, Funding Source Administration (Manager) will provide financial and
administrative support to the agreement lifecycle of funding received by the Foundation. The
Manager is responsible for management of pre-award, award, post award and closeout activities
of the funding source agreements while maintaining the portfolio of awards in the Foundation’s
databases. The Manager will report to the Director, Funding Source Administration.
ESSENTIAL DUTIES AND RESPONSIBILITIES
• Manage all aspects of the grant process, from application to closeout, ensuring
adherence to funder guidelines and organizational policies.
• Manage the process of routing, vetting, and obtaining approval of new or modified
funding.
• Activate, process, and maintain funding sources and modifications within the
designated portfolio in the Foundation's Funding Source Management System, ensuring
data efficiency, integrity, and consistency.
• Assist Funding Source Managers in proposal preparation and review all proposal and
agreement documentation for accuracy and completeness.
• Coordinate efforts between Funding Source Managers and Finance to ensure
consistency and integrity of grant data.
• Assist Director, Funding Source Administration in preparing Term-Sheets, Mid?agreement and Closeout Reports and conducting Kick-off, Mid-agreement and Closeout
Meetings.
• Regularly work with Funding Source Managers to assess financial progress against
approved budget, evaluate efficiency in fund utilization, and make necessary
adjustments to overcome challenges.
• Thoroughly analyze funding source agreements to pinpoint any inconsistencies, gaps, or
areas lacking clarity regarding terms, conditions, and responsibilities. Promptly and
effectively communicate any identified issues to relevant stakeholders.
• Understand and ensure compliance with all requirements outlined in funding source
agreement throughout the period of performance.
• Ensure accurate and timely financial reporting to funders and internal stakeholders to
measure impact and maintain accountability.
• Provide interpretation of awards, federal and state regulations and institutional policies
and procedures to ensure compliance with award terms and conditions.
• Provide technical assistance and problem-solve issues relating to specific inquiries of
Funding Source Managers.
• Ensure Funding Source agreements and all other relevant organizational records are
timely uploaded and maintained in the Funding Source Management System.
• Manage timely submission of funder reports of the funding sources within the
designated portfolio.
• Work with Director, Funding Source Administration to develop, document and maintain
Funding Source Management Policies and Procedures.
• Assist Director, Funding Source Administration in providing training materials and
training Foundation staff (FSA team, Grants Administrators, Program staff, etc.) on
funding source administration policies and procedures, including the proper use of the
Foundation’s funding source management system.
• Manage and/or assist with special projects in Funding Source Administration.
• Perform other tasks and assignments as directed by Director, Funding Source
Administration, and Chief Financial Officer.
QUALIFICATIONS AND REQUIREMENTS
• Bachelor’s degree, preferably in business, accounting or finance.
• Three to five years of demonstrated related experience in grants management and
agreements administration with donors such us U.S. Government (e.g., USDA, DOI,
EPA) Foundations and Corporate Donors.
• Demonstrated success working across the full cycle of award management and
implementation.
• Proven ability to communicate effectively and work with non-grants professionals, to
help them understand award management processes and procedures.
• Proficiency with Microsoft Excel required, Power Point experience is a plus.
• Working knowledge of Uniform Guidance, 2 CFR Part 200.
• Ability to function independently and decisively in a fast-paced environment and apply
knowledge and understanding in broad contexts.
• Detail-oriented with discipline of data management to maintain accurate and complete
information.
• Excellent organizational and communication skills.
• Flexibility to prioritize tasks effectively and handle multiple tasks and deadline
pressures.
• Highly service-oriented, team-oriented, and goal oriented with great flexibility to
identify priorities, manage and respond to competing deadlines and priorities.
