POSITION SUMMARY

Our Executive Coordinator effectively represents and is the lead support of the Managing Director, Senior Director of Operations, and Senior Finance Director by managing all day-to-day matters, including but not limited to, calendar and travel management, meeting logistics for internal and external appointments, tracking expense reports, and facilitating changes to daily events as necessary. This role requires to be a critical thinker and willing learner with excellent organizational and communications skills. The ideal candidate will be passionate about UWD’s mission and be highly motivated about working in a fast-growing organization. They must be committed to fighting for freedom and dignity for all communities of color, a skilled multi-tasker, reliable, and committed to meeting deadlines while working collaboratively across teams in a fast-paced environment.

This is a part-time position with up to 25 hours per week. Periodic travel expected.


Responsibilities for the Managing Director: 

  • Effectively support the Managing Director (MD) in the coordination of the United We Dream Network, United We Dream Action, and United We Dream Action PAC Board meetings and projects: 
  • Timely send out meeting reminders;
  • For committee meetings and full board meetings, 
  • Take note of and support on any next steps or follow-up areas identified
  • Schedule meetings with board members or other internal/external stakeholders as necessary to follow up on next steps
  • Prepare draft agendas, memos, or presentations for meetings based on knowledge of ongoing board projects, inquiries 
  • Own the technical assistance aspects of meetings 
  • Own calendar management 
  • Support with scheduling and management of the MD’s calendar
  • Support with travel arrangements, reimbursements and expense reporting
  • Support the biweekly completion of timesheets and requests PTO on the MD’s behalf. 

Responsibilities for the Senior Director of Operations: 

  • Effectively support the Senior Director of Operations in scheduling meetings and strategic planning:
  • Progress of projects and spaces required to move forward organizational wide goals led by Senior Director of Operations
  • Management meetings and All Staff preparation calls Conference prior to meetings to align on agenda items and any preparation needs
  • Timely gather, set agenda items and send out meeting reminders;
  • Own the technical assistance aspects and take notes during meetings, especially any next steps identified, and follow up on next steps, including scheduling meetings with staff members as necessary
  • Own calendar management
  • Support in preparing the Annual Training Timeline in coordination with the HR Benefits Coordinator
  • Support with travel arrangements, reimbursements and expense reporting

Responsibilities for the Senior Finance Director: 

  • Support with scheduling and management of Senior Finance Director’s calendar
  • Support with travel arrangements, reimbursements and expense reporting
  • Support in the upkeep of work plans and deadlines for the Senior Finance Director’s supervisees

  • Maintain a professional demeanor when corresponding with board members, funders, partners and other various outside partners or organizations.

Desired Qualifications and Skills 

  • At least 1 year of administrative experience
  • Executive assistant experience preferred
  • Proficiency in Microsoft Office Suite
  • Willingness to manage work calmly in demanding and fast paced environments with many moving pieces
  • May have prior experience working in an organization that has gone through rapid growth or is known for reacting to the moment quickly and effectively

  • Experience working in communities of color and/or building multiracial organizing efforts preferred
  • Knowledge of immigrants rights’ policy and organizing landscape, preferably with lived experience as an immigrant or part of an immigrant family, preferred

SALARY AND BENEFITS

Base pay: $20.40/hour for up to a 25-hour/week schedule

  • Receive 6.25 Vacation days per year - prorated based on the date of hire, hours, and duration of the position
  • Paid Time Off Holiday between December 24th - January 1st.
  • 12 Paid holidays
  • Insurance benefit ineligible 

LOCATION

As UWD is a remote-first workplace, this is a full-time, remote position. We have a preference to hire in states where we already have employees working from home - AZ, DC, CT, CA, IL, MO, NJ, NM, NY, OK, SC, and TX. You may be required to travel occasionally to DC or elsewhere, for internal team meetings, retreats, and UWD events as required for your role.
