JOB TITLE: Front Office Manager

DEPARTMENT: BFA 3D Animation and Visual Effects

COMPENSATION: $21.00 per hour

STATUS: Non-Exempt (Overtime Eligible)

REPORTS TO: Director of Operations

WORK SCHEDULE: 5 days a week, 8:30 AM- 4:30 PM, 12 noon- 8 PM, or 4 PM - 12 AM, depending on the day of the week. It may require Saturday or Sunday shifts.

POSITION OVERVIEW: The Front Office Manager is responsible for managing the daily frontline operations of the BFA Computer Art Department. This requires a proactive, professional approach to all the activities outlined below.

DUTIES & RESPONSIBILITIES:

  • Assist the director of operations in all day-to-day operations of the department and special events, including exhibitions, orientations, and open houses.
  • Perform equipment and Production Studio check-in/out (equipment and accessories, including cameras, tripods, etc.).
  • Coordinate and distribute instructor materials as needed.
  • Maintain supplies for the front office including toner, ink, paper, general office supplies, etc.
  • Maintain active inventory of all student production equipment and inform the Director of Operations when inventory is low or damaged (bulbs, spare parts, etc).
  • Help manage our staff of student workers.
  • Act as a point of contact concerning necessary building repairs (i.e., plumbing, lights, electrical) in Computer Art facilities. Apprise the Director of Operations as to problems, and progress of current repairs.
  • Attend special events outside the regular schedule and interact with guests 1 to 3 times a year.

This position will be responsible for one of the following duties:

  • Supervise and train student lab assistant workers. Create and maintain lab assistant schedules, prepare timesheets, review weekly hours reported by lab assistants, work with the Director of Operations and Systems Administrators to coordinate special training sessions, and help coordinate lab assistant evaluations.
  • Maintain and update online equipment checkout and reservation scheduling systems. Work with the Director of Operations and Systems Administrators on equipment recommendations and policy, and regularly update content on the departmental website - refreshing images and posting new information.
  • Perform routine equipment maintenance and evaluations of cameras, projectors, tripods, and light kits and/or oversee the process of sending the damaged items out for repair. Prepare and lead equipment demonstrations.

QUALIFICATIONS:

  • Bachelor's degree preferred.
  • Strong organizational, interpersonal, and communication skills.
  • Administrative and/or managerial experience preferred.
  • Internet and e-mail proficiency is required.
  • Ability to work well in a team atmosphere and communicate effectively.
  • Knowledge of basic Mac and PC required; Adobe CC experience preferred.
  • A/V experience and equipment management preferred.
