The Founder/Executive Director of the Global Partnership for Civic Engagement (& Better Century Awards) is looking for his next Assistant/Volunteer Coordinator.

This role is an essential part of our organization, and demands rigor, attention to details, and professionalism. It offers a direct access to internal matters of the organization and imply a very close working relationship with the Founder/Executive Director. Description of the position:

Administrative tasks:

  • Be the main point of contact between the Executive Director and the Volunteers. Continuous reporting on teams progress, and continuous support in various tasks to keep the volunteer programme running.
  • Structure: Daily check-ins with the Executive Director and Volunteers using Whatsapp and 2-3 Weekly Zoom meetings with Exec. Director to update on progress and work on team objectives
  • Scheduling meetings with the Teams and Executive Director and be the bridge between them to ensure communication and transparency
  • Draft meeting agendas for team meetings (1 weekly meeting with each of the three volunteer teams)
  • (Occasional participation in recruitment/interview of new volunteers)


Coordination of the Volunteers:

Our unique volunteering program offers the opportunity for students, recent graduates, young professionals and activists to join an international team of volunteers and provide support to the Global Partnership’s mission.

We currently have 3 teams of volunteers:

(1) Communication & Marketing

(2) Fundraising

(3) Research

Your job as Volunteer Coordinator will be providing support and structure for the volunteers to perform their tasks as seamlessly as possible, as well as ensuring the relevance and quality of the work.

(1) Communication & Marketing:

  • Providing continuous support and guidance to volunteers. Co-coordinating the social media and other communication strategy with the team and moderating brainstorms with volunteers and Exec. Director on strategic tasks.
  • Setting weekly and monthly objectives to be met to ensure the smooth running of the team and a continuous social media presence. Reporting on social media performance to the Exec. Director.
  • Be the bridge between the different teams of volunteers to ensure clear communication and effective collaboration (i.e. content for fundraising campaigns etc.)
  • 1 meeting of 30 minutes to an hour is expected weekly.


(2) Fundraising

  • Providing support and guidance to volunteers. Co-coordinating the fundraising effort with the team and moderating brainstorms with volunteers and Exec. Director on strategic tasks.
  • Setting weekly and monthly objectives to be met to ensure the smooth running of the team and implement a reporting and evaluation of the processes with Exec. Director
  • 1 meeting of 30 minutes to an hour is expected weekly.


(3) Research

  • Providing continuous support and guidance to volunteers. Co-coordinating the research effort with the team members and moderating brainstorms with volunteers and Executive Director on strategic tasks.
  • Setting weekly and monthly objectives to be met to ensure the smooth running of the team and implement a reporting and evaluation of the processes with Exec. Director
  • 1 meeting of 30 minutes to an hour is expected weekly.


Due to the international nature of our organization and our volunteer program, all meetings are done remotely to include members from around the world. This position requires a commitment of 15-20 hours per week, including 5 to 8 hours per week videoconferencing to check in with teams and/or report back to the Executive Director, the rest of the workload being done autonomously, and dispatched however you please.

The previous Executive Assistants were hardworking university students (undergrad or graduate) or individuals looking for extracurricular activities and/or looking for an early professional experience managing teams and coordinating a volunteering program.

This position is open to enrolled students, as well as any other individual looking to work towards making a difference!


Qualifications

  • Excellent communication skills and fluent in English, both spoken and written.
  • Experience using the Google Workspace Suite (specifically Google Drive, Google Sheets, Google Docs, Gmail)
  • Experience using video conferencing tools (Zoom)
  • Some experience (or at least an interest) in social media management, communication and marketing
  • Some experience (or at least an interest) in conducting research (academic, market), prospection/business development and outreach
  • (desirable but not required)>Some experience (or at least an interest) in fundraising (small, medium to large donors), advocacy strategy and grant writing
  • Ability to work autonomously, yet never hesitate to ask for help
  • Great time management and organizational skills
  • Familiarity with global issues and other systemic challenges
  • Any other language spoken fluently is an advantage.
  • Any previous international experience is an advantage.
