    Position Overview

    We are seeking a dynamic, detail-oriented Practice Manager to lead the day-to-day operations of our boutique practice while also contributing to the longer-term strategy and vision for GetzWell. This role is ideal for someone with strong leadership skills, a passion for healthcare operations, and a dedication to creating an outstanding patient experience. The Practice Manager plays a pivotal role in maintaining operational excellence, supporting our clinical team, and upholding our high standards of care and service.

    Key Responsibilities

    Operations & Workflow

    • Oversees daily practice operations, ensuring efficiency, consistency, and quality across all patient touchpoints
    • Manages provider scheduling, oversees patient flow, and ensures that resource allocation optimizes provider productivity and patient satisfaction (e.g., proper inventory management, responding to member experience insights, sufficient staffing support)
    • Monitors practice metrics, suggesting and implementing processes and strategic improvements based on data insights, team input, and customer feedback
    • Contributes to outreach efforts, including member recruitment and community partnerships
    • Initiates payroll, vendor payments, and adjunct provider oversight
    • Ensures compliance with HIPAA, OSHA, and other healthcare regulations

    Team Management

    • Recruits, trains, supervises, and mentors front and back office staff
    • Conducts regular performance evaluations and provides coaching and development opportunities
    • Fosters a positive, collaborative, and high-performing team culture aligned with GetzWell values, including planning team building and appreciation events

    Patient Experience

    • Champions exceptional service standards for all patient interactions, both within the practice and with community partners (such as outside labs, specialists, referrals)
    • Addresses and resolves any patient concerns with empathy and professionalism
    • Supports a welcoming, caring, responsive, and family-friendly environment
    • Continuously identifies areas for improved patient experience, working with the CEO stay abreast of emerging trends and expectations

    Financial Oversight

    • Collaborates on budgeting, forecasting, and financial performance tracking
    • Manages billing workflows in partnership with external billing vendors or internal staff
    • Monitors accounts receivable and supports billing-related issue resolution

    Technology & Systems

    • Ensures proper functioning of EHR, scheduling, and communication systems
    • Works with vendors to troubleshoot technical issues or implement system upgrades
    • Recommends and implements operational tools to improve efficiency and care coordination
    • Interfaces with web designer for necessary updates

    Qualifications

    • Bachelor’s degree in healthcare administration, business, or related field (Master’s preferred)
    • Minimum 3–5 years of healthcare management experience, ideally in a private practice or pediatrics setting
    • Proven ability to lead and develop teams in a detail-intensive, patient-focused environment
    • Strong understanding of clinical workflows, patient scheduling, and billing systems (experience with EHRs like Elation, Charm, or similar a plus)
    • Expertise with Microsoft products, automation software (such as Zapier, Keragon), and project management tools (such as Asana, Monday, Airtable) are also a plus
    • Excellent communication, problem-solving, and organizational skills
