    Apex for Youth empowers underserved Asian and immigrant youth from low-income families in NYC to unlock their potential and a world of possibility. Through programming focusing on health and well-being, education, and community engagement, Apex for Youth creates transformative social connections and celebrates cultural identity to build the confidence and self-efficacy of future generations.

    Apex serves approximately 2,500 students annually from Kindergarten through their post-secondary years. We provide children and young adults with opportunities to develop strong relationships with adults who volunteer as consistent and caring mentors and role models.

    POSITION SUMMARY

    Apex engages close to 1,000 volunteers per year in our recurring and one-off programs and events. The Volunteer Senior Manager is responsible for managing the overall volunteer experience and pipeline at Apex. This is a highly collaborative role, and will work closely with program staff who directly manage year-long volunteers, the development team who manage one-off volunteers, and the marketing team.

    The Volunteer Senior Manager will be responsible for leading Apex’s organization-wide volunteer management processes. The Senior Manager will also create and manage the volunteer training and onboarding process, work closely with the program team to manage the volunteer experience once placed in Apex programs, collaborate with the development team to manage the corporate volunteer process, and work with the marketing team to recruit volunteers and share volunteer experiences externally. The Volunteer Senior Manager will also serve as the point person between the program department and outside stakeholders such as the Associate Board in order to achieve volunteer recruitment and retention goals. The Associate Board is a group of young professionals dedicated to fundraising for Apex, supporting volunteer recruitment and retention, and marketing the organization to new supporters.

    The Volunteer Senior Manager will report to the Deputy Director of Programs.

    RESPONSIBILITIES

    Organization-wide Volunteer Experience and Engagement (40%)

    • Audit existing volunteer management strategies and practices, and create a formal volunteer management plan including standard operating procedures for volunteer recruitment, training, management, and recognition.
    • Train program staff on best practices and standard operating procedures for volunteer management strategies and practices
    • Create a volunteer handbook for recurring volunteers with volunteer policies and protocols
    • Partner with development to invite volunteers to engage philanthropically with the organization
    • Collaborate with Data and IT Senior Administrator to accurately capture volunteer data in Salesforce including managing the volunteer application pipeline.

    Recurring Volunteer Engagement (30%)

    • Lead volunteer recruitment efforts for all programs, including collaborating with Marketing on the overall recruitment plan and targets, and ensure a seamless transition to program teams for intake and placement
    • Lead the end of year Volunteer Appreciation event including managing event logistics and Volunteer of the Year awards
    • Create process for assessing volunteer performance using relevant performance data to elevate strong volunteers, provide volunteer feedback on performance concerns, and sunset volunteers with poor performance, in collaboration with program staff
    • Streamline volunteer recruitment and retention efforts by programs and the Associate Board in order to maximize staff and Associate Board time and resources
    • Partner with marketing to create communication and recruitment plans for volunteers

    One-Off Volunteer Engagement (20%)

    • Ensure seamless handoff of corporate volunteers from development to program volunteering opportunities
    • Oversee the volunteer experience for one-off program events and workshops and follow-up engagement of the volunteers, including working with Development staff and program staff for volunteer sign-ups, orientations, placement, training, day-of logistics, and post-event logistics.

    Cross Department Collaboration (10%)

    • Attend Monthly Associate Board meetings and serve as primary liaison between Associate Board and Directors, Programs, Operations, Marketing, and Development on volunteer-related matters
    • Collaborate with Human Resources regarding volunteer management issues, as needed.
    • Other duties as required.

    QUALIFICATIONS

    • 4-6 years of experience managing volunteers or interns in a service-based or equivalent setting
    • Excellent communication skills
    • Demonstrates ability to be flexible and adaptable
    • Enjoys collaborating across diverse teams
    • Program management experience preferred
    • Strong ability and interest in building community and genuine relationships
    • Proactive nature and self-starter, ability to problem-solve autonomously
    • Enjoys working closely with a team, as well as independently
    • Familiar with Salesforce or other equivalent customer relationship management systems
    • Ability to work on Saturdays as needed
