    Organizational Overview:

    Mass Mentoring Partnership (MMP) is committed to ensuring that all young people in MA have the mentoring relationships they need to develop into thriving engaged adults resulting in vibrant communities. For over thirty years, MMP has worked with organizations and agencies that offer mentoring support to youth—in particular youth of color, to build the quantity and quality of youth-adult relationships. MMP is a statewide organization that partners with corporate, public, and philanthropic entities to drive critical resources to a network of mentoring and youth-serving organizations throughout the Commonwealth.

    MMP is the largest affiliate of MENTOR, the National Mentoring Partnership. A network working to activate a diverse cross-sector movement that prioritizes relationships and fuels opportunity for young people wherever they are - from schools to workplaces and beyond. National affiliate membership allows for an expanded network of colleagues across the country, national resources, and professional peer learning and development opportunities.

    Overview of Position:

    The Operations Associate works on multiple fronts to impact the daily operations at MMP and to contribute to our mission-driven work. Key areas of responsibility include financial processing, information technology, human resources (including benefits administration), grants management, administrative and executive support and office management. This is an excellent growth opportunity for a detailed-oriented individual with strong initiative. The role provides exposure to many different aspects of a mission-driven non-profit. MMP values collaboration and engages all staff in meeting our strategic goals. The Operations Associate reports to the Director of Operations, with a direct line of communication to the President and CEO.

    Specific Responsibilities Include:

    Financial Processing & Reporting:

    • Vendor Management - Including accounts payable processing
    • Record and deposit incoming checks
    • Request and distribute outgoing invoices and assist with account receivable management
    • Monthly credit card reconciliation and payment processing
    • Assist with the monthly financial closing process
    • Assist with annual financial audit and nonprofit tax filings

    Executive Support:

    • Along with the CEO and Director of Operations provide MMP’s Governing Board support - Including scheduling quarterly Board meetings and Finance Committee meetings
    • Prepare and distribute board meeting materials
    • Attend quarterly Board and Finance Committee meetings and prepare minutes
    • Provide meeting scheduling support to CEO, including coordinating meeting requests and related briefs and/or other materials in preparation for meetings.
    • Manage CEO’s travel arrangements and reimbursement requests.

    Information Technology:

    • Administer and maintain MMP’s core systems including Google and Microsoft. Including serving as “Super Admin” on these organizational accounts and assisting staff with utilizing the systems
    • Administer and maintain MMP’s CRM platform Salesforce to ensure data is accurate, up to date, and comprehensive. Work with MMP staff to maximize effective usage of Salesforce; provide reporting, analysis, and technical support
    • Maintain and update the Ops Google Site (internal website for MMP staff)

    Human Resources:

    • Payroll Administration - Including processing additions / terminations and changes to payroll
    • Process bi-weekly payroll; send payroll reports to outsourced bookkeeping service
    • Benefits Administration - Manage enrollment / terminations and changes for health, dental and life insurance for MMP staff
    • Assist in onboarding new staff members and provide training on utilizing MMP systems

    Administrative:

    • Serve as a welcoming, professional point of contact to all external stakeholders interacting with MMP by phone, in person and through email
    • Receive incoming mail and prepare outgoing mail and deliveries
    • Maintain organization records including: State Mentoring Grant records and vendor/consultant records
    • Provide in-person (and virtual) event management support including managing training and event registration lists, on Zoom and Soapbox, and associated logistics
    • Maintain office equipment at optimal level and manage relationships with vendors
    • Manage inventory of office supplies and place orders
    • Manage common spaces to maintain appearance and functionality

    Qualifications & Skills:

    • Bachelor’s degree or equivalent work experience
    • 2 - 4 years of professional experience; previous nonprofit experience a plus
    • Demonstrated organizational skills with a strong attention to detail
    • Adept at managing projects and professional relationships
    • Excellent verbal and written communication skills
    • Ability to work independently and collaboratively
    • Capacity to prioritize and manage workflow and multiple projects with excellent follow through
    • Strong desire and ability to work and connect with diverse communities, people and partners, and a commitment to promoting inclusion in all practices and efforts
    • Strong computer skills including Google apps for work, MS Office, Adobe are crucial, admin level IT experience helpful
    • Salesforce experience a plus

    Benefits:

    • Salary $50,000-55,000/year - paid biweekly (commensurate with experience)
