    Who is Bridging Access to Care, Inc.: Bridging Access to Care, Inc. (BAC) is a nonprofit, multi-service, community-based behavioral health care organization committed to building healthy communities, one person at a time.

    In 2012, Brooklyn Aids Task Force changed its name to BAC and successfully made the transition from an AIDS-centered organization to a multi-service community-based healthcare organization.

    Brooklyn Aids Task Force was the very first HIV/AIDS organization in Brooklyn, prioritizing serving persons living with HIV/AIDS (PLWHA) since 1986. Today, BAC provides mental health and substance use-related social services, comprehensive HIV/AIDS care, and coordinated health care and supportive services to underserved racial and ethnic minority communities in Brooklyn and other parts of New York City.

    JOB SUMMARY: The Executive Assistant to the CEO & Executive Team serves as a trusted administrative, strategic, and operational partner to the Chief Executive Officer (CEO), Chief Financial Officer (CFO), and Chief Programs Officer (CPO). This senior-level role is central to advancing the organization’s mission by supporting executive leadership, strengthening board governance, coordinating fundraising and advocacy efforts, supporting workforce processes, and ensuring clear, effective internal and external communications.

    This position requires significant nonprofit experience, excellent judgment, discretion, and the ability to manage complex priorities across governance, development, human resources coordination, and executive operations. Experience working with nonprofit boards, fundraising platforms, and advocacy-oriented organizations is essential.

    DUTIES AND RESPONSIBILITIES:

    Executive & Administrative Support

    • Provide high-level administrative and operational support to the CEO and executive leadership team (CEO, CFO, CPO), including calendar management, travel coordination, meeting logistics, and correspondence.
    • Serve as a strategic gatekeeper, assessing priorities, managing inquiries, and ensuring executives are prepared and well-briefed.
    • Prepare briefing materials, reports, presentations, agendas, and background research to support executive decision-making.
    • Track action items, deadlines, and follow-ups related to executive meetings, strategic initiatives, and cross-functional work.

    Board Governance & Committee Support

    • Serve as a primary administrative liaison to the Board of Directors in partnership with the CEO.
    • Coordinate full board and board committee meetings, including scheduling, agenda development, preparation of board packages, materials distribution, minutes, and follow-up actions.
    • Maintain board records, governance documents, committee materials, and compliance files.
    • Support onboarding, engagement, and communication with board members.
    • Work closely with board committees (e.g., finance, development, governance) to support meeting preparation and documentation.

    Fundraising & Development Support

    • Manage and maintain the organization’s fundraising platform and donor database, ensuring accuracy, data integrity, and timely reporting.
    • Support fundraising efforts through donor communications, contribution tracking, and stewardship coordination.
    • Coordinate logistics for fundraising events, including planning, scheduling, materials preparation, vendor coordination, and post-event follow-up.
    • Assist executive leadership with preparation for donor meetings, campaigns, and development-related presentations.

    Communications & External Relations

    • Draft, edit, and coordinate executive-level communications on behalf of the CEO.
    • Support agency-wide communications in coordination with leadership.
    • Assist with the preparation of reports, presentations, and written materials for donors, partners, elected officials, funders, and community stakeholders.

    Advocacy & Mission Support

    • Provide administrative and research support related to advocacy efforts.
    • Support executive engagement with coalitions and community partners.

    Human Resources Coordination & Executive Office Support

    • Support staffing coordination with the CPO and HR.
    • Review and submit requests to fill positions.
    • Track recruitment and onboarding progress.
    • Maintain confidentiality and compliance with EEO standards.

    Organizational & Operational Support

    • Support organization-wide initiatives and special projects.
    • Assist with grants, audits, and compliance documentation.
    • Uphold trauma-informed and equity-centered practices.

    KNOWLEDGE, SKILLS, AND ABILITIES:

    • Demonstrated nonprofit executive support experience.
    • Strong understanding of governance, fundraising, and advocacy.
    • Working knowledge of HR coordination processes.
    • Exceptional organizational and communication skills.
    • Commitment to equity and inclusion.
