    International School of Brooklyn seeks an energetic, hardworking, self-directed full-time Program Associate for the 2025–2026 school year.

    Position Overview

    The Program Associate is a key member of the administrative team and works across divisions (Preschool, Lower School, and Middle School) to support daily operations, coordinate school-wide logistics, and ensure the successful execution of events and initiatives. This position requires strong organizational, communication, and problem-solving skills, along with the ability to build warm, professional relationships with students, families, faculty, and staff.

    Key Responsibilities

    School Operations & Logistics

    • Coordinate daily school operations such as student arrival and dismissal, and office organization.
    • Manage substitute coverage for faculty absences, including scheduling, onboarding, timesheet approval, and maintaining a vetted sub list.
    • Maintain and update the school’s master academic and duty schedules.
    • Track and reconcile faculty attendance in coordination with the Business Office.

    Administrative & Division Support

    • Support Division Directors with scheduling, communications, and visitor coordination.
    • Maintain a welcoming, clean, and well-organized office environment.
    • Manage general office supply orders and oversee daily distribution of student snacks.

    Event & Trip Coordination

    • Organize logistics for school events (e.g., field trips, assemblies, cultural celebrations, graduation).
    • Coordinate facility and technology needs, catering, communications, guest lists, and childcare for events.
    • Liaise with the school lunch provider for special event and field trip adjustments.
    • Support the planning and logistics of local and international school trips, including transportation and accommodations.

    Professional Development Support

    • Register faculty and staff for external professional development and manage related travel and logistics.
    • Support on-site PD days by coordinating speakers, preparing materials and schedules, and managing logistics.

    School Culture & Community Engagement

    • Serve as a warm, helpful, and responsive presence in school common spaces.
    • Support initiatives that promote ISB’s values of collaboration, inclusion, and global citizenship.

    Additional Duties

    • Take on other responsibilities and projects as requested by the Division Directors and Head of School.

    Desired Qualifications & Skills

    • Bachelor’s degree required
    • At least 2–3 years of experience in a school or educational setting preferred
    • Exceptional organizational and time management skills
    • Ability to prioritize and manage multiple tasks and deadlines
    • Flexibility and ability to take initiative
    • Openness and receptiveness to feedback, as well as follow-through skills to ensure completion of goals and objectives
    • Clear and professional written and verbal communication
    • Comfortable working with databases, spreadsheets, and standard office software
    • Adaptability, initiative, and a collaborative spirit.
    • Discretion and professionalism when handling confidential information
    • Familiarity with school operations, scheduling systems, or student information systems (a plus)
    • Spanish or French proficiency is a plus, but not required

    Compensation & Benefits

    • Salary range: $55,000–$65,000, commensurate with experience
