Role:
We are seeking a detail-oriented and proactive Part-Time Accounting Manager to support key financial and compliance processes at JOURNEY. This role manages day-to-day bookkeeping, accounts payable/receivable, payroll, monthly financial processes, internal reporting, and business compliance. The ideal candidate has experience in non-profit settings and helping to evolve systems and processes.
Key Responsibilities:
Financial Management & Bookkeeping
- Maintain accurate and up-to-date bookkeeping in QuickBooks Online (QBO), including classifying income and expenses, processing journal entries, and reconciling bank and credit card accounts.
- Ensure compliance with nonprofit accounting standards by tracking restricted and unrestricted donations, and support donor invoicing and revenue management.
- Process invoices, reimbursements, and payments in a timely and accurate manner.
- Ensure alignment between QBO and CRM financial records through regular reconciliation and coordination with program and development staff.
- Execute and ensure the integrity and timely completion of the monthly close process, guaranteeing the accurate recording, categorization, and review of all financial transactions.
Internal Financial Reporting
- Prepare monthly financial reports, including Budget vs. Actual, Profit & Loss, Balance Sheet, and Cash Flow Forecasts.
- Assist senior leadership in developing the annual organizational budget and updating projections as needed.
Payroll
- Process payroll in compliance with federal, state, and local requirements.
- Ensure timely and accurate payroll tax filings and reporting.
- Coordinate payroll changes, including new hires, rate adjustments, reimbursements, and paid time off (PTO) updates.
Compliance
- Maintain organized financial files, documentation, and internal controls in accordance with nonprofit accounting standards.
- Support preparation for the annual audit or 990 Federal Filing, working closely with external accountants.
- Track and coordinate state charitable registrations, annual reports, insurance renewals, and required corporate filings.
- Ensure consistent, accurate record keeping across all financial systems.
- Monitor compliance with federal, state, and local nonprofit financial regulations.
Qualifications:
- 5+ years of experience in nonprofit bookkeeping or accounting.
- Knowledge of GAAP and nonprofit financial practices, including fund accounting, grant tracking, and supporting Form 990 preparation.
- Proficiency in QBO and payroll systems (Gusto preferred).
- Strong understanding of accounts payable workflows, reconciliation, and the monthly close process.
- Experience with CRMs and Google Workspace.
- Excellent organizational skills and the ability to manage multiple deadlines.
- Clear, proactive communicator able to work both independently and collaboratively.
- Commitment to confidentiality, accuracy, and high ethical standards in financial management.
- Strong analytical and problem-solving skills.
