    Position Summary

    The Administrative Assistant is primarily responsible for assisting the Executive Director with high-level support, managing calendars, correspondence, board relations, and general organization logistics. This position may also assist with meeting and event preparations, contract preparations and other confidential tasks, acting as the Executive Director’s right hand to ensure efficient operations and mission focus. The position may occasionally also support the Administrative Director as tasks arise. This position is a part-time position with an average of 20 hours per week with anticipated higher work loads during event season (May-September).

    Essential Job Duties

    • Proactively manage the Executive Director's (ED) complex schedule, prioritize meetings, and resolve time commitment conflicts.
    • Act as the primary point of contact for the ED by screening/summarizing/prioritizing emails, drafting correspondence, and handling internal/external inquiries as requested.
    • Schedule, coordinate logistics (e.g. venue rental, technology), prepare materials, take minutes, and support ED meetings and events; this may include Board of Director meetings, meetings with external partners, and annual organization-wide events.
    • Occasionally support travel logistics such as booking flights, hotels, and creating itineraries for attending national conferences.
    • Maintain digital filing systems (primarily Google Drive) and transcribe, format, and retrieve documents as needed.
    • Handle sensitive information with discretion.
    • Other duties as assigned by the Executive or Administrative Directors.

    Minimum Requirements

    • Lived experience as a full time parent and/or caregiver of a child, youth, or young adult who has navigated behavioral health crisis services.
    • Must reside within Washington State or be willing to relocate after a job offer.
    • Access to remote workspace with high speed internet.
    • High School Diploma or GED
    • Excellent organizational, documenting, communication, and project management skills.
    • Excellent oral and written communication skills.
    • Proficiency in computer skills and experience with MS Office products, Zoom, and G-suite.
    • Ability to successfully work independently and under supervision.
    • Commitment to anti-racism and dismantling institutional and systemic racism and other biases, including, but not limited to:
      • A willingness to learn about one’s own prejudices and biases.
      • An ability to work toward equal status relationships with people who are different.
      • An ability to question personal assumptions about the skills and competencies of the employees, and community, who are different.
      • A desire to learn as much as possible about how one’s own culture is different from others, and how that contributes to a particular way of reviewing self and others.
      • An ability to take risks to communicate with people from other cultures and backgrounds.
      • An ability to learn from mistakes made in trying to communicate with people of other cultures and backgrounds.
      • Experience working directly with people from diverse racial, ethnic, and socioeconomic backgrounds.
      • Personal or professional experience in anti-oppression work.

    Preferred Qualifications

    • Experience as an assistant to an Executive Director and/or as an assistant with a fully remote non-profit organization.
    • Experience with a variety of software applications such as Canva, Constant Contact, task management software (e.g. Asana, SmartSheet, Trello), and/or willingness and eagerness to learn.
    • Flexibility, with an ability to compassionately and clearly communicate boundaries as needed.
    • Ability to be proactive and take initiative; anticipate needs and solve problems before they arise.
    • Great interpersonal skills, fostering positive relationships as a potential first point of contact for the organization with families, partners, and donors.
    • Be adaptable and a problem-solver; embrace workplace changes, new tools, and shifting priorities, and handle unexpected issues with creative solutions.

    Compensation, Benefits, and Employee Support

    • Part-time, 20 hours per week, $24/hour (half-time salary equivalent of $24,960). This position is eligible for a geographic salary differential based on the cost of living where you reside (base rate may increase by up to 25% for those who live in high cost of living areas—such as Seattle, Bellevue, or King County).
    • This position is budgeted for one year with the potential for extension to a permanent and/or full time position.
    • Paid time off (PTO) accrued at .0384 hours PTO earned per 1 hour worked, the equivalent of 40 hours per year for a half-time employee.
    • In addition to PTO, full-time employees are eligible for eleven (11) paid holidays and five (5) days bereavement leave per year. Washington State Paid Medical and Family Leave and partial wage replacement is available for eligible employees.
    • Flexible, 90%+ remote position; work laptop provided.
    • Each employee is allotted $1000 per year for professional development as well as WSCC covering the cost of attending the National Federation of Families, Annual Peer Pathways, and other WSCC events for professional development.
