    About the Role

    We are seeking a highly organized, detail-oriented Litigation Support Operations Manager to oversee workflow and execution for a high-volume, mission-driven boutique practice.

    This role combines hands-on litigation support work with day-to-day operational ownership. The person in this position is responsible for evaluating incoming discovery productions, helping to determine how data will be handled, ensuring that work moves forward on time, deadlines are met, and nothing falls through the cracks.

    The position sits at the center of our Coordinating Discovery Division’s operations. This role includes direct supervision of a two-person team and requires the ability to ensure that assigned work is completed on time and to standard.

    Fundamentally, the Litigation Support Operations Manager ensures that Coordinating Discovery Division work moves forward across all active matters.

    While the initial focus of this role is managing execution within a core discovery coordination contract, there is significant opportunity over time to take on broader operational responsibility as the business grows.

    This is an execution-focused role. It is not abstract project management—this is hands-on coordination of real work with real deadlines that directly impact legal outcomes.

    About the Work

    Our firm works nationally on complex criminal defense matters involving large-scale discovery, forensic evidence, and emerging technologies. In addition to coordinating discovery across high-volume, multi-defendant federal cases, we provide direct legal and technical support in matters involving DNA evidence, forensic failures, and novel surveillance technologies.

    Our work includes successful challenges to forensic evidence, case audits following laboratory failures, and advising on issues that have shaped case outcomes at both the trial and appellate level. The matters we handle are often large, complex prosecutions with significant discovery and multiple defendants, and they frequently carry implications beyond a single case or jurisdiction.

    The Coordinating Discovery Division is a core part of that work. This role will initially focus on managing workflow and execution within that division, with the potential, over time, to take on broader operational responsibility as the business grows.

    Responsibilities

    • Production Evaluation & Workflow Design
      • Evaluate incoming productions and determine the appropriate handling approach
      • Build and maintain the task tracking system for each production
      • Make informed decisions about workflow sequencing and data handling in coordination with supervising attorney direction
      • Escalate complex or strategic decisions as needed
    • Workflow & Operations Management
      • Manage discovery workflows across multiple active matters
      • Ensure all tasks are clearly assigned, tracked, and progressing in accordance with deadlines
      • Perform portions of the hands-on processing and litigation support work directly, particularly in the evaluation, workflow design, and quality control stages
      • Maintain clear visibility into active work and identify bottlenecks or delays early
      • Ensure consistent use of project management tools (Asana)
    • Team Supervision & Accountability
      • Supervise and coordinate a team of two eDiscovery Assistants
      • Assign work clearly and ensure that expectations and deadlines are understood
      • Monitor progress and follow up to ensure tasks are completed on time
      • Address stalled or delayed work quickly and directly
      • Reinforce consistent use of systems, processes, and time tracking
    • Vendor Coordination & Integration
      • Coordinate with external vendors involved in discovery processing, hosting, or related services
      • Ensure vendor work is aligned with internal workflows and deadlines
      • Integrate vendor outputs into case workflows and ensure consistency with internal systems
      • Monitor vendor performance and address issues proactively
    • Requests & Exceptions Management
      • Manage incoming requests and operational exceptions related to Coordinating Discovery Division work
      • Prioritize and route work appropriately
      • Ensure all non-standard work is tracked through completion
    • Reporting & Operational Visibility
      • Assist in preparing monthly reporting related to discovery work and contract performance
      • Identify trends in workload, bottlenecks, or gaps in team output
      • Ensure time tracking and database updates are accurate and complete
      • Participate in client-facing work as appropriate

    Qualifications

    • Required
      • 3+ years of experience in litigation support, eDiscovery, paralegal work, or related legal operations
      • Demonstrated experience handling discovery data, document productions, or litigation support workflows
      • Ability to evaluate incoming productions and make sound decisions about processing and workflow structure
      • Demonstrated ability to manage multiple concurrent deadlines and workflows
      • Strong organizational skills and consistent follow-through
      • Experience supervising others or holding team members accountable for deadlines and deliverables
      • Ability to exercise sound judgment in litigation support workflows while working under attorney or senior supervision
      • Comfort working within structured systems and processes
    • Preferred
      • Experience with eDiscovery tools or document review platforms (Relativity, Everlaw, Casepoint, etc.)
      • Experience supporting litigation teams or legal workflows, specifically federal criminal defense teams
      • Familiarity with discovery processes, document production, or case management systems
      • Experience coordinating with external vendors or service providers
      • Experience in client-facing support, training, or communication roles

    This role is expected to take ownership of how work is executed, while partnering with the founder on higher-level judgment and strategy.

    Over time, there is opportunity to take on increased operational responsibility as the role and business grow.

    Compensation

      • Salary: $65,000 – $75,000
      • Up to $95,000 for an exceptional candidate with strong relevant experience
