    Senior Director of Financial Administration & Operations

    Location: Mattapan, MA – Hybrid - Minimum of 2 days per week in-person

    Salary: $120,000-$135,000

    Reports to: Chief Executive Officer and Chief of Staff

    Supervises: 4-5 finance team member in payroll, grants accounting, etc

    Role Overview

    The Senior Director of Financial Administration will serve as the senior-most finance leader at IFSI, guiding the financial strategy and ensuring organizational fiscal health. This role is an opportunity to modernize systems, lead a small but capable team, and be a thought partner to the CEO during a period of organizational growth and increased complexity.

    The Director will oversee an $8–9 million annual budget, manage budgeting and financial planning, lead audit preparation, and collaborate with external accounting partners to build scalable and effective financial systems.

    Success in the First 90 Days

    • Support IFSI through the annual financial audit with external auditors
    • Learn operating and financial systems, and make continual improvements
    • Integrate with senior leadership and finance teams to build productive working relationships

    Key Responsibilities

    Strategic Financial Leadership

    • Serve as a strategic partner to the CEO and Board, helping align financial strategy with mission and long-term goals
    • Develop and lead financial strategies that align with the organization's mission, growth plans, and long-term sustainability.
    • Oversee preparation of operating budgets, cash flow projections, and financial forecasts.
    • Provide timely financial management reports to the Executive Director, Board of Directors, Finance Committee, and management leadership team.

    Budgeting & Reporting

    • Lead the annual budgeting process in collaboration with department heads
    • Monitor organizational and program budgets to ensure proper alignment with revenue and expenses; oversee reconciliation
    • Generate monthly, quarterly, and annual financial reports

    Team Leadership

    • Supervise 4-5 finance team members responsible for bookkeeping, payroll, accounts payable/receivable, and grant tracking
    • Provide coaching, training, and professional development to ensure team efficiency and accountability
    • Support grant accountant in tracking restricted and unrestricted funding across multiple grants and contracts
    • Oversee final financial reporting for public and private funders

    Accounting and Month-End Close

    • Supervise and coach the accounting team, supporting professional development and best practices in nonprofit financial management.
    • Oversee all general ledger functions, month-end and year-end close processes, ensuring timely, accurate, and GAAP-compliant reporting.
    • Implement and enforce strong internal controls, segregation of duties, and documented financial procedures to mitigate risk.

    Compliance & Audit

    • Oversee all audit preparation and serve as the primary contact for external auditors, managing all aspects of the annual audit, Uniform Guidance (Single Audit, if applicable), and preparation of Form 990.
    • Ensure compliance with GAAP, nonprofit financial regulations, and federal/state contract requirements
    • Maintain strong internal controls and documented procedures to protect organizational assets

    Investment and Risk Management

    • Monitor investment accounts and advise the CEO on risk, return, and cash flow considerations
    • Maintain appropriate insurance and organizational risk safeguards

    Operations Leadership

    • Oversee and strengthen organizational infrastructure, including technology systems, vendor relationships, procurement processes, and administrative services.
    • Continuously assess and enhance operational processes to improve efficiency, scalability, and alignment with mission goals.
    • Lead cross-functional initiatives that improve internal systems, workflows, and organizational collaboration.
    • Mentor and support operations and finance team leaders, fostering a culture of excellence, transparency, and continuous improvement.
    • Serve as a key thought partner on the Executive Leadership Team, contributing operational insight to strategic planning and organizational decision-making.

    What You Bring

    • 6-8 years of financial management experience, ideally in nonprofits or mission-driven organizations, with progressive leadership experience.
    • 2 or more years of experience supervising finance and accounting staff.
    • Bachelor’s degree (in accounting or finance), MBA, or CPA are preferred - but not required. Relevant experience will be considered.
    • A collaborative, supportive leadership style that offers coaching, mentorship, and professional development.
    • Demonstrated success managing multimillion-dollar budgets, audits, and financial planning.
    • Fast-paced and detail-oriented skills that ensure efficient, accurate information and processes to support a critical mission.
    • Strong knowledge of nonprofit accounting, GAAP, grant management, and audit preparation.
    • Expertise in financial tools such as QuickBooks Online, Excel, and Google Workspace.
    • Mission-alignment with supporting immigrants across Massachusetts and a passion for purpose-driven work.
    • Experience working in multicultural environments is a strong plus!
