    Position Summary

    The Donor Services Coordinator is vital to enhancing relationships between the Archdiocese of Philadelphia and its donors. This position plays an integral role in providing exceptional customer experience, supporting fundraising efforts, and achieving greater operational efficiencies in gift processing, data management, and donor services, utilizing Raiser’s Edge NXT and other related vendor systems. Responsibilities include the timely processing and acknowledgment of gifts from multiple sources, gift entry and data validation, updating donor information, organizing data imports, and handling basic customer service tasks, including donor-centric communications via phone, email, and mail. This role also involves generating reports to track fundraising progress and donor engagement, aiding in strategic decision-making. The Donor Services Coordinator will support a wide variety of stewardship and fundraising programs under the Archdiocese umbrella and perform essential administrative and clerical duties.

    Key Responsibilities

    • Process and record all gift types (cash, checks, credit cards, wires, securities, pledges, matching gifts) received by the Office of Stewardship and Development.
    • Reconcile gift records in collaboration with Finance and the Database Administrator teams to ensure complete and consistent financial reporting.
    • Code and track gifts to ensure that donor intent, recognition, and reporting are accurate and complete.
    • Accurately enter and update donor records, addresses, solicit codes, gifts, and interactions in Raiser’s Edge NXT.
    • Produce reports, queries, data exports, lists, dashboards, and other analytics to support fundraising strategy, benchmarking, and audits.
    • Generate timely, accurate, and personalized gift acknowledgments, tax receipts, tribute notifications, and pledge reminders in collaboration with internal and external stakeholders.
    • Ensure data consistency across the Office of Stewardship & Development and Finance.
    • Identify and implement opportunities to improve processes, workflows, and data quality.
    • Collaborate closely with internal stakeholders to support shared goals and efficient operations.
    • Provide logistical and administrative support for events, including registrations, guest lists, name tags, research, on-site support, and other event coordination.
    • Other duties as assigned.

    Qualifications & Requirements

    • Bachelor’s degree, or commensurate experience, in a related field.
    • 2+ years of Raiser’s Edge experience, including gift processing.
    • Strong understanding of fundraising principles, including prospect research, cultivation, solicitation, and stewardship.
    • Excellent critical-thinking skills, with the ability to adapt to changing priorities in a fast-paced environment and with collaboration across a wide range of stakeholders.
    • Strong analytical and problem-solving skills for critical thinking and ability to troubleshoot and resolve technical issues effectively.
    • Excellent organizational skills with demonstrated ability to prioritize tasks and communicate effectively.
    • Strong attention to detail to ensure accuracy, integrity, and quality of data.
    • Excellent interpersonal and communications skills.
    • Proficient in Google Docs and MS Office Suite (Word, Excel, PowerPoint, Outlook).
    • Must be comfortable working for a faith-based organization.
    • Must be authorized to work in the United States.

    Working Conditions

    • This is a full-time position with standard office hours.

    Physical Requirements

    • The employee is occasionally required to stand, walk, sit, use hands to handle objects or controls, reach with arms, climb stairs, and talk or hear. Must occasionally lift or move office products and supplies up to 25 lbs.
