Position Summary
The Operations Coordinator is a part-time staff role that provides essential administrative and operational support to ensure JLOEB runs smoothly. This position serves as a central point of contact for leadership, members, and community partners, handling communications, membership data, and financial processes. The role is ideal for someone looking to grow their nonprofit operations experience while working in a flexible, mission-driven environment.
Key Responsibilities
Administrative & Communications
- Manage the League email inbox, phone messages, and general inquiries from members, partners, and the public.
- Support outgoing digital and physical communications and mailings, including donation acknowledgments, membership notices, and organizational updates.
- Maintain shared files and organizational records using Google Workspace.
Finance & Data Management
- Process donations, payments, and routine reimbursements.
- Make bank deposits and coordinate with the Treasurer and bookkeeper.
- Assist with event reconciliation, membership dues, and fundraising transactions.
- Track donor lists on external websites and coordinate fulfillment/tracking of perks.
Membership Support
- Maintain accurate records in Member Essentials (our member database).
- Support membership transfers, new member onboarding, and reporting.
- Generate lists and reports for leadership needs, ensuring data accuracy.
Operations & Logistics
- Manage office and program supplies.
- Oversee the League calendar and institutional memory tools.
- Complete occasional in-person tasks such as checking the League mail and making bank deposits.
Qualifications
- Prior administrative or nonprofit operations experience preferred.
- Strong organizational skills and attention to detail.
- Comfortable working independently and managing multiple priorities.
- Proficiency with Google Workspace (Docs, Sheets, Drive); database experience a plus.
- Strong written and verbal communication skills.
- Must be local to the East Bay with reliable transportation for errands.
