    About Brooklyn Boatworks:

    Brooklyn Boatworks is a nonprofit organization that empowers NYC youth through the hands-on experience of building and sailing wooden boats. Our programs blend STEM education, social-emotional learning, and maritime exploration to help students develop confidence, teamwork, and problem-solving skills. Through career exploration opportunities, we introduce young people to pathways in maritime, engineering, and skilled trades, equipping them with the tools they need to navigate life’s challenges—on and off the water.

    As our organization grows, we're seeking a dedicated and detail-oriented Operations & Finance Coordinator to support our internal operations and ensure everything runs smoothly behind the scenes. This part-time position is ideal for someone who thrives in a collaborative environment, enjoys juggling multiple priorities, and is eager to gain experience in nonprofit operations, finance, and administration.

    Position Overview

    The Operations & Finance Coordinator plays a central role in supporting the internal functions that power our programs—from bookkeeping and HR administration to volunteer coordination and office management. You'll work closely with the Executive Director and across teams to keep things organized, on track, and aligned with our mission.

    Key Responsibilities

    Operations & Office Management

    • Provide general administrative support: answering phones, managing emails, filing documents
    • Track and order office supplies and equipment; manage vendor relationships and service calls
    • Oversee facility needs and ensure the workspace remains functional and well-organized
    • Serve as point of contact for external vendors (IT, cleaning, building management, etc.)
    • Prepare internal materials and assist with scheduling and logistics for team meetings and events

    Finance & Bookkeeping

    • Maintain and update QuickBooks weekly
    • Process accounts payable and receivable, including deposits, payments, and invoicing
    • Track and collect employee timesheets; assist with bi-weekly payroll
    • Support monthly reconciliation of bank and credit card statements
    • Assist in preparing annual filings, including the 990, with our CPA
    • Reconcile and categorize expenses; generate financial reports as needed
    • Prepare and send invoices to school partners and other vendors

    Staff & HR Support

    • Support recruitment and onboarding processes for staff and volunteers
    • Manage job postings, interview scheduling, background checks, and new hire paperwork
    • Assist with offboarding processes and transitions

    Volunteer Program Oversight

    • Support onboarding and scheduling of volunteers
    • Maintain volunteer records and manage communication and logistics
    • Support volunteer engagement and recognition efforts
    • Ensure a positive and meaningful experience for volunteers at events and throughout the year

    Program & Development Support

    • Assist the Program Team with logistics during key times of year (e.g., school-year launch, inventory, Fleet Week)
    • Provide support during fundraising events and campaigns, including donor mailings and data entry
    • Help coordinate logistics for events such as our annual fundraiser and community boat launches
    • Support communication and outreach with community partners and stakeholders

    Special Projects

    • Assist the Executive Director with special projects and administrative tasks
    • Maintain press and contact databases; help draft or distribute press materials as needed
    • Support grant processes, including documentation for DYCD and other public grants
    • Help troubleshoot tech and operational challenges as they arise
    • Perform additional duties as assigned to support the overall operations and mission of the organization.

    What We’re Looking For

    • 2–4 years of experience in operations, finance, administration, or nonprofit management
    • Proficiency in QuickBooks and strong working knowledge of Google Workspace
    • Excellent organizational skills and high attention to detail
    • Strong communication and interpersonal skills; able to work across teams and with external partners
    • A proactive, solution-oriented approach with the ability to manage multiple priorities
    • Experience supporting HR or volunteer coordination a plus
