Request for Proposals: Web Designer for Site Build-Out, Accessibility Updates, and Regular Maintenance

Willie Mae Rock Camp for Girls Inc. (Willie Mae Rock Camp) is seeking web designer services for website build-out, updates, and ongoing maintenance of our existing organizational website: williemaerockcamp.org. We are seeking proposals from web designers with experience working with the Squarespace platform.

Willie Mae Rock Camp is a 501(c)(3) organization that provides arts education programming fusing music, technology, and STEM to empower girls and gender-expansive youth across New York City to develop their creative voices while building tech-based skills to support their future success. We provide tuition-free, year-round programs including in-school music education for grades 6-12, summer and school break project-based camps, after-school programming and workshops at our Brooklyn studio and at partner sites throughout New York City.

Our website is hosted on Squarespace version 7.1 and primarily used for providing information about our mission, programs, staff, and organization; program enrollment information; student work archives; hosting our annual impact report; and donation information and online donation forms. Any website updates should be consistent with our existing visual style, fonts, and color palette.

Note than we are a small but growing organization. Proposed changes and updates to our website should be adaptable and scalable over time as we continue to grow.

Project Scope

Our organization requests proposals to provide the following services. Dates are noted for projects with specific timelines for completion.

1. Site Build-Out
   1. Program registration and calendars: in collaboration with program staff, assess, make recommendations, and implement updates to program pages and registration information to integrate with program calendars, program registration forms, and other tools to increase the availability of real-time program information and ease of registration for families.
      1. Target completion date: September 30, 2025
   2. Annual impact report: develop a dynamic annual impact report for the July 1, 2024 - June 30, 2025 period consistent in content and style to our most recent report: 2023-24impactreport.williemaerockcamp.org/. Our current report is a custom-coded page. We hope to migrate content to a page within our Squarespace platform for better ease of maintenance.
      1. Target completion date: October 31, 2025
   3. Youth portal: update the organization’s existing youth portal page: www.williemaerockcamp.org/youth-portal, to add new student-produced content, highlight most recent content, and improve navigation.

2. Accessibility Updates
   1. ADA compliance updates: assess and make recommendations to ensure existing web pages comply with ADA and integrate ADA standards in new and/or updated pages and content as applicable.
3. SEO & Analytics
   1. Implement SEO best practices to enhance the discoverability of content.
   2. Integrate analytics tools (e.g., Google Analytics) to track user behavior and engagement with resources.
4. Ongoing Maintenance and Technical Support
   1. Ongoing maintenance: incorporate updates on an as-needed basis including the homepage, adding and removing new staff as applicable, adding new funders to our donor list, new job postings, adding new youth portal content, and other ongoing maintenance and updates estimated at six (6) hours per month.
   2. Training: provide training and technical support for staff on updating and maintaining the website as needed.

Qualifications & Capabilities

We are seeking contractors with the following experience and capabilities: 1) a professional web designer and/or web developer with relevant experience in nonprofit website design, 2) experience with the Squarespace platform including custom coding and formatting, 3) experience with SEO optimization and integrating analytics tools, 4) content management experience, 5) knowledge of and experience with accessibility compliance, 6) timeliness, attention to detail, and project management experience.
