    Company Management Assistant

    About New York Theatre Workshop:

At New York Theatre Workshop, we work relentlessly to empower visionary theatre‐makers and bring their work to adventurous audiences through productions, artist workshops, and education and community engagement programs. We're proud to be a home base for many of the most significant theatre‐makers of our time, nurturing groundbreaking writers like Nathan Alan Davis and Celine Song alongside powerhouse playwrights like Amy Herzog and Ayad Akhtar. From Rachel Chavkin and Lileana Blain‐Cruz to Whitney White and Rubén Polendo, we empower inimitable auteur‐directors and give invaluable support to tremendous talents in the earliest days of their careers. We've maintained decades‐long relationships with legendary theatre‐makers like Will Power, Ivo van Hove, Dael Orlandersmith, and Caryl Churchill, who have shaped our very understanding of what theatre can be.

Since our founding in 1979, we've produced over 150 fully‐realized productions including Jonathan Larson's Rent; Tony Kushner's Homebody/Kabul; Doug Wright's Quills; Claudia Shear's Dirty Blonde; Rick Elice's Peter and the Starcatcher; Glen Hansard, Markéta Irglová, and Enda Walsh's Once; and David Bowie and Enda Walsh's Lazarus. Enabling our artists to push boundaries generates work like Nathan Alan Davis's Nat Turner in Jerusalem, Anaïs Mitchell's Hadestown, Mfoniso Udofia's Ufot Family Cycle, Heidi Schreck's What the Constitution Means to Me, Jeremy O. Harris's Slave Play, Kristina Wong's Kristina Wong, Sweatshop Overlord, and Moisés Kaufman and Amanda Gronich's Here There Are Blueberries. NYTW productions have received a Pulitzer Prize, 29 Tony Awards, 2 Grammy Awards, and numerous Obie, Drama Desk, and Lucille Lortel Awards.

But that's not what we're proudest of. We take the greatest satisfaction from the community we've built, and the perspective‐shifting experiences we've delivered along the way. Even in the middle of a global pandemic, our community has continued to deepen existing connections and expand into new ones. From calls to check in on each other to grants for our artists to brand new education programming, our staff, trustees, artists and audiences have shared in in more than 70 virtual events attended by nearly 70,000 people over the past twelve months. We all think that theatre can bring people together, change the conversation, and have a profound impact. We feel fortunate to get to support it. If that sounds like something you're interested in too, we'd love to meet you.

    About the Team:

Led by the Producer and supported by a two-person team, the Producing Department is responsible for four to five fully-realized productions in our annual season. Additionally, the Producing Department provides support to the Artistic Department for developmental readings and workshops. The producing team is the locus of communications between all internal departments at NYTW, artistic collaborators and other industry stakeholders (e.g. unions, Off-Broadway League, etc.).

    About the Position:

The Company Management Assistant provides essential support for the cast, crew and visiting artists working at New York Theatre Workshop and serves as a liaison between these constituents and various departments at NYTW including marketing, education, development, internal operations and production. The Company Management Assistant reports to the Producer and is an integral part of executing the varied programming at NYTW.

This is a primarily office-administration based position, with some time spent in the theatre and rehearsal room as needed.

    Primary Responsibilities:

    • Acts as a point of contact and addressing needs for cast, crew, musicians and other artists engaged for projects at NYTW. This includes managing hospitality, space requests, supply and set up requests, reimbursements and petty cash, fielding inquiries related to ticketing, PT, and passing inquiries along to the appropriate other departments.
    • Attends production meetings, first rehearsals, tech rehearsals & previews, opening nights and closing performances. Some nights and weekend will be requested, and coverage during tech and previews is shared with other members of the producing team.
    • Provides pre-performance support to cast, crew and front of house.
    • Communicates between cast, crew, musicians and other artists (all-company postings, marketing/PR requests, post-show talk backs, student matinees, etc.)
    • Arranges travel and housing accommodation for visiting artists and administers per diems
    • Submits bills, invoices and other payment requests for show expenses and the department.
    • Reconciles the department credit card.
    • Inputs weekly box office settlement figures.
    • Coordinates biography information with dancers for playbill submission.
    • Manages preview production seats, and processes company ticketing requests, in collaboration with the box office.
    • Assists the Associate Producer in the management of pre-production developmental workshops.
    • Helps maintain safe and sanitary conditions for rehearsals and performances at NYTW; protect and maintain NYTW spaces including rehearsal room, theaters and backstage spaces.
    • Provides general administrative support to the Producing department.

We are committed to training this position on skills-of-interest as requested. We encourage you to let us know what you are excited to learn. Responsibilities that the position may evolve to cover could include (but not be limited to):

    • Drafting of actor contracts and other artist letters of agreement.
    • Administration of union benefit reports and royalty statements.
    • Assisting in the management and reconciliation of production budgets, and creation of budgets for readings and workshops.
    • Administration of the onboarding process.
    • Building rehearsal and performance calendars.
    • Understanding and maintaining compliance with union rules.

    About you:

    • You are committed to an equitable and inclusive community.
    • You have 2+ years of relevant experience, including time spent in theatre internships/fellowships, school theatre programs, or non-theatre jobs such as hospitality or office administration.
    • You have a strong passion for theater (especially NYTW's mission) and an appreciation and understanding of artistic processes.
    • You are a thoughtful communicator, and a critical and close reader.
    • You have a curiosity to learn new skills and a desire to solve problems uniquely and collaboratively.
    • You are respectful of artist's privacy. The Company Management Assistant will have access to confidential information, requiring discretion and professionalism.
    • You remember the little things - a favorite snack, an accommodation need, birthdays, etc.
    • You can recognize when to ask for help or assistance, in learning something new and in managing your workload.
    • You have knowledge of Microsoft Office suite including Outlook, Word and Excel and are able to troubleshoot technology yourself (by honed skills or being a great googler!). Other computer proficiencies are a plus.
    • You have an appreciation for hospitality and customer service, and a desire to support the needs of all those involved in creating work at NYTW.
    • You approach work with a good sense of humor.

This is a full-time non-exempt position with a salary range of $47,500 to $50,000. Benefits include employer paid medical, dental and life insurance and paid time off. NYTW has several affinity spaces and a Core Team of staff members across the organization committed to moving specific initiatives forward in our focus on Equity, Diversity, and Inclusion.

As this position interacts with the company of our productions, it is primarily an in-person position, with some opportunities for at-home work as the production schedules allow. This position is often required to attend in-person events on nights and weekends. The applicant should intend to reside in the greater NYC area.

We know that there are great candidates that may not have all the qualifications listed above but possess intuitive knowledge or other fully transferable skills. So don't hesitate to apply and tell us about yourself if that's you.

To apply, please submit a resume and cover letter via the portal to the right.

NYTW is an Equal Opportunity Employer (EOE). We are committed to diversity in all areas of our work, on and offstage. We encourage applicants with a unique cultural perspective inclusive of race, ethnicity, gender identity or expression, class, physical ability and sexual orientation.
