    ABOUT THE POSITION

    The Children’s Museum of Manhattan (CMOM) seeks a Special Events Coordinator to support the planning and execution of the Museum’s signature fundraising and cultivation events—including our annual Gala, Sunday Funday family benefit, and a range of donor stewardship gatherings.

    Reporting to the Director of Special Events, and works closely with internal teams, external vendors, and volunteer leadership to help deliver exceptional events that advance CMOM's mission and fundraising goals.

    The Special Events Coordinator will play a vital role in ensuring event logistics run smoothing, materials are accurate and timely, and guests and donors are engaged throughout the event cycle.

    RESPONSIBILITIES (include, but are not limited to):

    • Support the planning and execution of CMOM’s major fundraising events—including the annual Gala and Sunday Funday—as well as smaller cultivation events throughout the year.
    • Track sponsorships, donations, and revenue via CMOM’s fundraising platforms i.e. GoFundMe Pro and Raiser’s Edge.
    • Support event committee management by scheduling meetings, taking minutes, and sending follow-up communications.
    • Manage invitation lists, track RSVPs in real time and maintain updated guest lists
    • Coordinate donors outreach for events (e.g. guest lists and listing confirmations).
    • Manage on-site guest check-in for each event
    • Lead solicitation for live auction items and coordinate fulfillment with donors post-event.
    • Collaborate with the Communications team on social media and promotional efforts tied to events.
    • Coordinate management of event supplies, including ordering, packing, transport, and inventory tracking.
    • Assist in processing and tracking invoices and monitoring event expenses against the budget.
    • Contribute to post-event wrap-up, including compiling results, reporting metrics, and archiving materials.
    • Coordinate and participate in planning and hosting of donor cultivation events including private playdates and curated conversations for CMOM donors and prospects.
    • Provide administrative and logistical support to the Director of Special Events and broader Development team as needed.

    QUALIFICATIONS

    • 3-5+ years of professional work experience (nonprofit experience preferred) ideally including at least 2 years in special events or event planning.
    • Highly organized, detail-oriented, and able to manage multiple projects with competing timelines.
    • Strong written and verbal communication skills.
    • Experience supporting or executing events with 300+ attendees; familiarity with benefit events or galas.
    • Proficient in Microsoft Office; experience with Raiser’s Edge strongly preferred.
    • Positive, proactive, and collaborative team player. You bring a ‘roll-up-your-sleeves’ energy to your work, and enjoy collaborating with your coworkers
    • Willingness to work evenings and weekends for events.

    COMPENSATION

    Compensation is $60,000 to $70,000 per year.
