    Job Title: Community Engagement, Volunteer, and Operations Coordinator

    Department: Administrative / Community Engagement

    Location: Remote (with onsite responsibilities)

    FLSA Status: Non-Exempt

    Reports To: Director of Operations

    Position Summary

    The Community Engagement, Volunteer, and Operations Coordinator is responsible for overseeing Beagle Freedom Project’s volunteer and intern program and leading community engagement and outreach initiatives remotely and at Freedom Fields based in Nowata, OK. This role oversees the recruitment, training, coordination, and retention of volunteers while collaborating across departments to support events, mission-driven activities, and onsite community engagement initiatives.

    In addition to remote responsibilities, this role requires occasional onsite presence at Freedom Fields (including on occasional weekend days) for events and programming, as well as development and oversight of BFP’s volunteer and education program, and the Cat Café at Freedom Fields, as a community engagement and volunteer-driven initiative. The position requires a strong commitment to Beagle Freedom Project’s mission, values, and advocacy efforts to end animal testing through education, rescue, legislation and community involvement.

    Essential Duties and Responsibilities

    Volunteer / Intern Duties

    • Serve as the primary point of contact for all volunteer and intern inquiries, including phone, voicemail, email, and written requests
    • Communicate Beagle Freedom Project’s mission, values, expectations, and policies clearly to volunteers and interns
    • Collaborate with internal departments to identify volunteer needs and appropriate placement opportunities
    • Recruit, screen, interview, onboard, and train volunteers and interns
    • Create training materials for volunteers and interns and plan and host informational meetings
    • Manage volunteer and intern records, documentation, and tracking within the volunteer management software
    • Track volunteer participation, service hours, and engagement metrics
    • Evaluate volunteer performance and oversee volunteer recognition and retention initiatives
    • Foster positive, collaborative, and mission-aligned relationships with volunteers and interns
    • Provide volunteer coordination, training, and operational support for programs and initiatives
    • Support and coordinate volunteer events and volunteers across organizational needs and initiatives
    • Create and distribute E-blasts and other forms of communication.

    Community Outreach and Administrative Duties

    • Serve as the assistant to the Director of Operations with respect to administrative tasks and project management of activities pertaining to Freedom Fields operations
    • Plan, organize, and execute community outreach events and engagement activities
    • Develop and manage an overall strategy for community engagement, including awareness-building initiatives and partnerships
    • Represent Beagle Freedom Project at community events, outreach activities, and partner initiatives
    • Coordinate logistics for events, including planning, scheduling, onsite support, and volunteer event management
    • Plan and host informational meetings and outreach-related programming
    • Build relationships and serve as Beagle Freedom Project’s local focal point with community partners, supporters, and aligned organizations
    • Collaborate with leadership and staff on outreach campaigns and engagement initiatives

    Onsite Freedom Fields Duties

    • As needed, be onsite at Freedom Fields to support, coordinate, and oversee volunteers during events and community-facing programming
    • Support staff with logistics for programs, events, or projects
    • Prepare materials and ensure resources are available
    • Assist with onboarding or training logistics
    • Oversee and support the development and operations of the Cat Café as a volunteer-driven community engagement initiative
    • Support community engagement efforts and visitor experiences at Freedom Fields
    • Assist leadership with onsite initiatives, programming, and special projects

    Qualifications

    • Bachelor’s degree preferred
    • Prior nonprofit volunteer management experience preferred
    • Experience in animal advocacy, animal rights, or animal rescue strongly preferred
    • Experience with volunteer management software preferred
    • Experience managing volunteers in a remote environment strongly preferred
    • Experience creating training materials
    • Strong customer service, public speaking and presentation skills
    • Exceptional verbal, written, and interpersonal communication skills
    • Highly organized with the ability to multitask, prioritize, and adapt quickly due to the fast-paced nature of the role
    • Demonstrated sound judgment and ability to independently manage and grow programs

    Remote Work Expectations

    • This is a primarily remote position; however, employees must be available to work primarily during core work hours, 9:00 AM to 5:00 PM Central Time, Monday through Friday
    • Occasional onsite presence at Freedom Fields located in Nowata, OK, is required for events, Cat Café operations, and key engagement activities
    • Weekend or evening hours may be required at times, depending on volunteer events and programming
    • Maintain a reliable internet connection and a secure, distraction-free remote work environment
    • Participate in regular virtual meetings and collaborate effectively using video conferencing, messaging, and project management tools
    • Safeguard organizational data and adhere to all cybersecurity and confidentiality policies

    Physical and Environmental Demands

    • Ability to sit, stand, and work at a computer for extended periods
    • Ability to attend, support, and oversee onsite events, which may require evenings or weekends
    • Ability to travel locally as needed for community events and outreach (approximately 15-20% travel)
