    STATUS: Non - Exempt

    CLASSIFICATION: Regular, Full-time (Benefited, 37.5 hrs/week)

    SCHEDULE: Monday – Friday

    COMPENSATION: $35/hr

    About the Role

    The Operations Coordinator is a multi-faceted, cross-departmental role that supports the daily needs of the Operations departments, including Facilities, Technology, Security and others. They will assist the Senior Director of Operations’ efforts to coordinate projects at multiple scales, collaborate across teams, and serve various administrative functions supporting daily operational needs. A successful Operations Coordinator will be an enthusiastic, highly organized person with an ability to keep the daily detailed workflows on track and aligned to departmental and organizational priorities and initiatives.

    Primary Responsibilities

    Under the supervision of the Senior Director of Operations:

    Facilities:

    • Work with the Facilities staff to resolve issues, plan repairs and routine maintenance needs, including contacting and scheduling vendors and communicating to staff as needed.
    • Attend regular organization-wide calendar meetings; plan and schedule janitorial and other requests for events. Create event information sheets for janitorial staff for special events and weekly schedules with the Security Manager.
    • Schedule and attend Facilities meetings, notetaking and report on purchases, scheduling, and other actionable items.
    • Schedule and attend Safety Committee meetings, support safety initiatives and trainings.
    • Support expense reconciliation, process and code departmental receipts and invoices in collaboration with the Facilities and Finance Teams.
    • Review and update organizational policy and compliance documents.
    • Assist in the coordination of complex inter-team projects, using Google Suite and other tools to track progress, budgeting, scheduling, and communications.

    Technology/Systems:

    • Schedule and attend IT meetings, notetaking and report on purchases, scheduling, and other actionable items.
    • Make approved purchases and support expense reconciliation, process and code departmental receipts and invoices in collaboration with the IT and Finance Teams.
    • Support project coordination for IT initiatives, including scheduling vendors, tracking progress, and communicating updates

    Office/Administrative:

    • Oversee the Copy/Mail Room including staff mail distribution, postage machine and copier maintenance in coordination with vendors, and ordering supplies.
    • Partner with the Executive Assistant on special organizational projects as needed, including planning and scheduling retreats and internal meetings.
    • Maintain inventory and procure office, ergonomic, first aid and other supplies and materials.
    • Assist with keeping the staff kitchen area clean and safe in collaboration with the janitorial team.
    • Maintain an organizational seating chart and assist with onboarding of new staff to their work areas.

    Minimum Requirements

    • Minimum of two years’ experience in Operations administration preferred.
    • Experience/interest in working for a non-profit organization, arts or arts-related organization desired.
    • Self-motivated, proactive, detail-oriented, with the ability to work independently, collaborate and follow through with projects.
    • Strong organizational skills.
    • Effective written and verbal communication skills.
    • High level of interpersonal skills and judgment to handle sensitive and confidential information.
    • Demonstrated ability to work well with people of diverse backgrounds and roles.
    • Ability to prioritize assignments and work under the pressure of tight deadlines.
    • Proficiency with G-Suite (Gmail, calendar, google drive, sheets, docs) required.
