    POSITION SUMMARY

    Kindred Futures seeks a highly organized, intuitive, and committed Executive Assistant to directly support our CEO, a visionary leader and innovative thinker thriving in dynamic, multi-sector environments. Understanding the unique demands of a CEO who balances impactful professional commitments with other responsibilities, this role requires proactive planning, compassionate support, and exceptional efficiency to enable strategic focus and sustainable leadership. This is a special position for an outstanding person, with strong opportunities for career growth, network development, and ownership of projects.

    The Executive Assistant (EA) to the CEO is a highly trusted partner and key member of the Executive Office—serving as a strategic right hand to the CEO in both professional and personal spheres. This is not a traditional administrative role. The EA operates as an extension of the CEO, managing a fast-paced schedule, anticipating needs, and ensuring the CEO’s time, energy, and attention are leveraged effectively.

    This role blends elite-level executive support, relationship management, discretion, and logistical excellence. The EA will attend high-level meetings, track strategic follow-ups, and maintain critical relationships across the organization and with external stakeholders. They will also support the CEO as needed to manage their overall scheduling and logistical needs, including coordination of travel and appointments.

    The EA brings executive presence, emotional intelligence, and tactical savvy. This role requires maturity, high emotional IQ, and the ability to operate as a “gatekeeper” and “gateway” for the CEO and the organization.

    KEY RESPONSIBILITIES

    Strategic Executive Support

    • Manage the CEO’s calendar strategically and proactively, prioritizing critical meetings, engagements, and family commitments.
    • Proactively anticipate and address potential scheduling conflicts and ensure integration of personal and professional commitments to support overall wellness and sustained leadership effectiveness.
    • Ensure the CEO is well-prepared for all engagements by managing briefing materials, meeting agendas, talking points, and follow-ups.
    • Serve as a filter and liaison for internal and external inquiries, ensuring responsiveness while protecting the CEO’s bandwidth.
    • Handle confidential information with the utmost discretion and integrity.
    • Anticipate CEO needs, providing real-time support and ensuring smooth coordination of day-to-day operations and special projects.

    Strategic Scheduling & Meeting Facilitation

    • Attend internal and external meetings with or on behalf of the CEO; take notes, flag action items, and ensure timely follow-through.
    • Lead the logistical preparation, coordination, execution and follow up of Board and senior leadership meetings.
    • Coordinate logistics for internal and external meetings, board engagements, and organizational events, ensuring efficient use of time and resources.
    • Draft memos, emails, communications, and other correspondence in the CEO’s voice and tone.
    • Act as a thought partner and trusted operator, raising priorities and redirecting as needed.

    Stakeholder & Relationship Management

    • Build and maintain strong relationships with key internal and external stakeholders, including colleagues, Board Members, funders, and other critical partners
    • Serve as a primary point of contact for the CEO.
    • Represent the Executive Office with professionalism, warmth, and clarity in all interactions.

    Project Management & Operations

    • Streamline administrative processes, maintain comprehensive filing and organizational systems, and ensure meticulous attention to detail.
    • Track deliverables and help monitor progress across CEO-led initiatives.
    • Maintain documents, files, expense reports, and other administrative systems related to the Executive Office.
    • Collaborate with departments to align schedules, expectations, and messaging across the organization.

    QUALIFICATIONS

    Required:

    • Bachelor’s degree or equivalent professional experience
    • Minimum of 5 years of experience supporting providing executive-level administrative support in a fast-paced environment
    • Exceptional organizational skills, meticulous attention to detail, and ability to manage competing priorities effectively.
    • High emotional intelligence and sensitivity to the nuanced needs of executive leadership.
    • Demonstrated capacity for confidentiality, diplomacy, and intuitive decision-making.
    • Advanced proficiency in Microsoft Office Suite, Zoom, Canvas, and project management tools
    • Excellent written and verbal communication and interpersonal skills.
    • High discretion, emotional intelligence, and professional judgment.

    Preferred:

    • Prior experience with Board engagement and governance support
    • Familiarity with CRM systems (e.g., Salesforce) Experience supporting or coordinating public events, speaking engagements, or media appearances

    WORK ENVIRONMENT AND EXPECTATIONS

    • Hybrid work environment, based in Atlanta.
    • Flexibility in working hours is required—this role is not confined to a traditional 9-to-5.
    • Occasional travel (approx. 10%) for events, retreats, or CEO support needs.

    Salary range from $75k-$85k commensurate with experience. Benefits include:
